Job Description: Hospitality Relations Associate
Department: Core: Hospitality
Reports To: Director of Tenant Relations
Position Summary
This position is responsible for providing exemplary hospitality level service to tenants, members, and visitors,
ESSENTIAL FUNCTIONS AND BASIC DUTIES:
- Greet tenants and guests in a professional, friendly, hospitable manner:
- Professionally administer all incoming calls and redirect them accordingly.
- Receive and respond to inquiries on the telephone and in-person and ensure that communications are conveyed to appropriate individuals (i.e. messages left for tenants or management).
- Record messages as directed and forward them to the proper individual in a timely manner.
- Ensure all tenants swipe their card upon entry.
- Ask visitors to show ID (state driver's license, state issued ID, Passport or Military ID), and announce guests to the tenant before directing them to the elevators and floors.
- Any person entering the premise must be signed in, both first and last name into BluBox.
- Maintain and update company directory.
- Respond to inquiries from tenants about services.
- Listen and respond to inquiries using a positive, clear speaking voice.
- Report maintenance items that require attention to the Management office.
- The ability to ascertain a guest's satisfaction and handle any problems which may arise and informing a manager of the problem and how it was resolved.
- The ability to report any accident immediately, no matter how minor, to a Manager.
- The ability to respond properly in any location emergency or safety situation.
- You may be asked to perform other duties upon request
Additional Job Functions:
- Captures requests and information from the guest (e.g. concierge requests, comments, personal information, special occasions, etc) and enters into BluBox, our tenant-management and security system.
- Ensures appropriate coverage of desk and door at all times; acts as doorperson, greeter, or other position when scheduled or requested.
- Answers general information questions about the building, gives directions, information about the buildings, artwork, décor, etc.
- Informs management of any issues and/or potential problems regarding guest service or security issues.
- Offers and promotes additional service offerings and information about future plans and services for tenants.
