Job Description
Position Summary:

The Fleet Manager is responsible for the maintenance and regulation of the PFC fleet in accordance with company policy, OSHA, DOT, and other applicable regulations. To provide excellent service to our customers, operational readiness and efficiency of all trucks and trailers is also the responsibility of the Fleet Manager and of the utmost importance. The manager consistently delivers outstanding service to a broad customer base while supporting the Porter transportation strategy. The Fleet Manager also provides excellent customer service to internal and external customers and demonstrates strict confidentiality with all team members while serving as an ambassador of our culture.

Essential Functions:
  • Oversee fleet of trucks and trailers across all Porter Family Company locations. This includes their operation, condition, the external and internal appearance, and overall performance of the fleet. Taking a proactive approach to identify any needs for maintenance inside and outside of the vehicle as well as overall care.
  • Travel to all PFC locations for regular physical inspection of fleet.
  • Develop, implement, and maintain vehicle and equipment preventative maintenance programs.
  • Schedule maintenance for all Porter Family Company trucks and trailers utilizing maintenance tracking software.
  • Monitor documentation and records for each vehicle, especially areas related to the inspections, certifications, and servicing. Ensure each vehicle has proper registration, insurance, and other documentation needed inside each vehicle.
  • Work closely with the CFO to compile the annual budget. Analyze costs associated with fleet management.
  • Design and manage fuel programs for all vehicles and drivers.
  • Develop and maintain vendor and service provider relationships for maintenance and other essential services. Hold vendors responsible for reliable maintenance.
  • Develop and maintain accurate and up-to-date fleet management records and reports, including vehicle inventory, maintenance schedules, and fuel usage.
  • Oversees DOT, IFTA, and FMCSA compliance and reporting as it relates to the fleet. Ensuring compliance with federal, state, and local regulations related to fleet operations, including licensing, registration, and inspections.
  • Management of trailer assets.
  • Own key initiative programs that support Porter's strategic direction with the ability to manage complex projects simultaneously.
  • Work closely with dispatcher managers and team supporting dispatch to coordinate the drop off and pickup of trucks and trailers.
  • Other duties as assigned.


Required Knowledge, Skills, and Abilities:
  • Proven track record of developing vendor relationships resulting in improved service, increased capacity, and reduced costs.
  • Demonstrated proficiency in managing fleet of 50 plus route trucks and 18 plus non-CDL trucks.
  • In-depth knowledge of OSHA, DOT, IFTA, and FMCSA, compliance, reporting and safety regulations/requirements.
  • Excellent problem-solving abilities with a focus on safety and efficiency.
  • Strong analytical skills and ability to use data to inform decision-making and prioritizing.
  • Ability to work independently in a high-pressure environment with all levels of leadership and exercise sound judgment where clear guidelines may not exist.
  • Incredibly hardworking and willing to do what it takes to reach goals.
  • Excellent organizational skills.
  • Ability to effectively communicate verbally and in writing with leadership, management, vendors, and team members.
  • Exceptional attention to detail.
  • Ability and willingness to travel to PFC locations and vendor partners.
Required Experience and Education:
  • 5+ years Fleet Management experience of at least 50 plus vehicles.
  • 3+ years of experience with transportation management systems.
  • Proficiency with Excel, Microsoft Word, and Outlook.
Physical Demands:
  • Must be able to lift, carry, push, and/or pull 25 lbs.
  • Requires visual, hearing, and speech acuity.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Exposure to extreme temperatures and elements, noise, and fumes.
