JOB TITLE: Medical Operations Nurse Supervisor
IMMEDIATE SUPERVISOR:  Associate Medical Director
DESCRIPTION: The Medical Operations Nurse Supervisor works under the direct supervision of the Associate Medical Director. The Medical Operations Nurse Supervisor is responsible for the administration of the day-to-day business operations: providing leadership, management, and operational oversight of medical support staff services at all Master Center locations: Medical Assistants, Licensed Practical Nurses and Registered Nurses. Responsible for implementing and maintaining compliance with practice policies and regulatory standards. The Medical Operations Nurse Supervisor is responsible for the quality of work, productivity, team member engagement and morale, employee adherence to department and practice policies to ensure operational goals and objectives are met.

DUTIES AND RESPONSIBILITIES:
Supervisory Responsibilities
  • Leads selection process for new Medical Assistants and Nurses.
  • Onboards new team members.
  • Conducts skills assessment of Vivitrol injections and phlebotomy for Medical Support Staff.
  • Manages and supports Medical Support Staff by managing staff schedules for team members at all locations.
  • Establishes and monitors workflows, productivity, and quality assurance for Medical Support Staff.
  • Oversees ongoing employee education and training for Medical Support Staff, to include CPR, de-escalation training, 42 CFR Part 2 training and Human Rights training.
  • Conducts performance management activities in a timely manner, including periodic reviews, professional growth development plans, disciplinary actions, and organizational requirements and expectations. Conducts competency evaluations for Medical Support Staff at hire and annually and documents with HR.
  • Manage and tracks KPI providing recommendations for additional training for performance standards
  • Conducts weekly teams meetings and individual 1-on-1 meetings with all staff
Operational Responsibilities
  • Communicates in a collaborative manner to promote teamwork and maintain a positive and productive work environment.
  • Oversees all individuals receiving medical services and guides and responds to inquiries regarding client health issues.
  • Assists in the development of department policies and standard operating procedures while providing supervisor support and guidance to team members and providers.
  • Monitors medical operations KPIs and identifies data trends. Identifies and recommends opportunities to improve.
  • Maintains and updates training documents, forms, and job aids (based on organizational changes) and distributes to departments, working in conjunction with other members of leadership team. This includes assisting the CMO and Associate Medical Director with training documents, forms and job aids for the providers.
  • Identifies trends and items in need of process improvements, to eliminate obstacles in reaching departmental goals. Undertakes root cause analysis and recommends and implements solutions.
  • Fosters open and supportive communication between the medical team and therapy department to meet interdisciplinary treatment needs.
  • Handles escalated complaint calls for resolution.
  • Works in conjunction with onsite staff at each location to ensure medical equipment is maintained and in compliance with manufacturer recommendations.
  • Assists with the planning and opening of new Master Center locations.
  • Exemplifies Master Center’s Mission, Vision and Values.
  • Maintains knowledge about Master Center model of care, services and program compliance.
Pharmacy
  • Collaborates with the Associate Medical Director to implement and maintain necessary workflows to support patient treatment.
  • Compliance with State pharmacy board regulations and proceedures
Lab
  • Serves as point of contact with Lab vendors.
  • Facilitates EHR changes to testing codes, billing invoices and/or issues and Master Center account management as needed with vendors.

Supplies:
  • Monitors existing inventory of current medical equipment/supplies and facilitates ordering of PPE, specimen cups, exam room supplies as needed.

Compliance
  • Ensures compliance with State and Federal regulatory requirements, including HIPAA and 42 CFR Part 2 Privacy rule.
  • Monitors completion of ISPs, in conjunction with the Associate Medical Director.
Special Projects as needed

Knowledge.  The employee consistently demonstrates knowledge of policies, procedures, operating guidelines, and evidence-based best practices for behavioral health and addiction medicine services, regulations, and accreditation standards. 6. Supervision. The employee both participates in and provides oversight and supportive supervision of medical assistants, licensed practical nurses and registered nurses.

REQUIRED SKILLS:  
 
  • 3-5 years’ experience in Healthcare Management
  • Excellent written and oral communications with strong organizational and time management skills.
  • Ability to monitor and motivate staff in a team environment.
  • Must demonstrate strong problem-solving skills, high attention to detail and an aptitude for learning.
  • Must possess the ability to work independently and in a collective team environment.
  • Strong customer services skillset.
  • Experienced in system software applications and workflow practices.
  • Knowledge of regulatory standards and compliance requirements.

MINIMUM QUALIFICATIONS:
Require License or eligibility to practice as Registered Nurse, licensed by Virginia State Board of Nursing in the State of Virginia.
Require graduation from an accredited school of registered nursing. BSN preferred.
Strongly prefer experience working with people with mental illness, geriatric issues, and/or substance abuse.
