Order Entry Specialist

Monday to Friday 8-5

$19.00 to $20.00 Hour based on experience.

Must complete Drug and Background Screening.

 

Responsible for receiving and processing incoming work orders, maintaining records, and compiling reports.

Gather and translate all necessary customer and internal data to develop accurate and detailed orders that support successful installation.

Work in conjunction with branches, customers, and other internal teams to ensure orders are completed in a timely manner.

 

Essential Duties & Responsibilities:

Data entry for assigned Sales Associates

Back up for front desk/phones

Enter installer payroll.

Perform accurate and timely entry of customer selections into order processing system.

Identify and escalate gaps in company and customer ordering information with the

appropriate level of urgency.

Research shortages with sales and provide accurate details of all shortage issues.

Back up Tonya

Monitor orders using system reports and communicate progress to leadership. Proactively

communicate to resolve discrepancies in up-front data preventing accurate or timely order

entry.

Immediately process any changes that may arise.

Monitor and track customer orders to meet material lead times and ensure on-time delivery.

Maintain customer procedures regarding selection, billing back-up and order

acknowledgments.

Scan documents into document management systems or databases.

Interact with internal and external customers daily through clear and concise written and

oral communication.

Review job cost data to ensure accurate recognition of revenue. Enter job cost coding to

reflect margin status.

Comply with all data integrity and security policies.

Investigate and resolve job cost margin discrepancies.

Communicate inventory needs as necessary to Purchasing department.

Refer complex, unusual problems to supervisor.

Under general supervision, exercise some judgment in accordance with well-defined policies,
