SUMMARY: Represents the organization in a professional manner when greeting members and visitors while on the phone and in-person, ensuring that they are directed to appropriate staff. Assists with various administrative tasks.

ESSENTIAL FUNCTIONS:

  • Greets members in a friendly, courteous and professional manner and direct to appropriate staff
  • Answers incoming telephone calls, determines needs and directs the caller to the appropriate person or department
  • Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable
  • Answers questions about the organization and provides callers with address, directions, and other information
  • Welcomes visitors, determines nature of business, maintains Visitor Log and badges, and announces visitors to appropriate personnel; monitors visitor access
  • Notarizes documents according to policy
  • Maintains the member coffee and water station, ensuring supplies are stocked
  • Maintains pamphlet/information racks in lobby; assists in keeping lobby in a neat and orderly appearance
  • Prepares materials for Business Development and ALEC Investment Advisors (AIA)
  • Reviews membership applications and forms and submit for imaging
  • Prepares disclosures for new account openings
  • Maintains professionalism while conducting business with members and vendors
  • Other duties as may be assigned

QUALIFICATIONS:

  • Education Required: High school diploma or equivalent, obtain Notary Public Commission Certificate within six (6) months of hire and during required renewal periods
  • Experience Required: One (1) year of office or administrative experience
  • Experience Preferred: Two (2) years of office or administrative experience
  • Knowledge, Skills and Abilities (KSAs):

  • Organizational skills
  • Strong interpersonal skills
  • Ability to work as part of a team
  • Ability to verbally communicate effectively with internal and/or external members
  • Ability to use computers and job-specific technology/software efficiently

  • Performs responsibilities with composure, quality and accuracy under stress of deadlines/requirements
