Position Description

Position Title: Administrative Assistant

 

 

Summary

 

This is a 40-hour position responsible for assisting Ron Wood Family Resource Center (RWFRC) staff in a supportive nature. This position is directly responsible to the Executive Director. The Administrative Assistant position is responsible for assisting staff with providing information and referrals, answering phones, taking messages and general clerical staff support. Additionally, the position will be responsible for providing WIC (Women, Infants and Children) program eligibility and related duties as required to support and assist WIC programming. This position will also support the Executive Director in a variety of administrative tasks.

 

General Duties and Responsibilities

 

· The Administrative Assistant shall assume clerical duties in the office including but not limited to phones, typing, filing, taking messages, sending and receiving faxes, scheduling appointments, providing referrals, maintaining donor mailing list, direct mailings to donors, opening and closing the office, sanitizing common areas and providing excellent customer service to internal and external clients, staff and agency partners.  Clientele varies.  Greeting Families, Children homeless individuals and Elderly.

· Assist in program activities when needed. Assist in creating a teamwork attitude and professional atmosphere.

WIC Clerk Duties and Responsibilities

 

· Meets appropriate RWFRC established *qualifications based on assigned duties, AND

· Complete the following WIC competency-based Training Modules within 2 months of hire:

 

1. WIC Certification

2. Customer Service

3. Breastfeeding is the Best Choice

 

· Complete 6 hour breastfeeding training within 6 months of hire. [Note: All front line and administrative staff are required to attend this training (offered by the State WIC Office) to learn the basics of breastfeeding and why promoting and supporting breastfeeding is a priority for WIC.

· Provides clinic and office support to the CPA and nutrition staff.

· Implements SA (State Agency) and LA (Local Agency) program policies and protocols.

· Sets the tone for excellent customer service to participants as they enter the center.

· Can evaluate and document an applicant’s program eligibility criteria (category, residency and income)

· Refers participants to other social services and documents accordingly.

· Participates in breastfeeding promotion and support.

 

· Position is contingent on receiving the WIC Clerk certification

 

Employment Standards

 

Education/Experience: Any combination of education and experience that would provide the required knowledge and skills is qualifying. A typical way to obtain the knowledge and skills would be:

 

  1. Education – Graduation for high school or the high school equivalent is required &

 

  1. Experience – 1+ year experience in a customer service setting in which multiple tasks and responsibilities at a professional level.

 

Qualifications

 

· The ideal candidate should possess strong organizational skills, outstanding communication skills and be able to adapt to a changing work environment.

· Accurate keyboarding and personal computer skills required.

· Proficiency in MS Office, Word and Excel is required.

· Basic cash handling and accounting skills.

· Experience and background working with children, youth, and families in is favorable.

· Must possess the ability to work with the community and different cultures in a professional manner.

· One year of previous customer service experience preferred.

· Bilingual in English and Spanish is a plus.

 

Requirements

 

· Must be willing to submit to a State and Federal background check and State Central Registry Check for child abuse and neglect background check as per NRS Statute – Chapter 432B.

· Must be willing to adhere to ethical standards of conduct and issues regarding confidentiality as set forth in the agency’s policies.

 

Wages and Benefits

 

· Wages & Benefits: $18.00 - $20.00 per hour DOE.

· This position is dependent upon grant funding.

· Employer paid health benefit ($500.00 per month taxable)

· Paid Sick leave, vacation leave and designated holidays.

· Probationary Period: This entry position is a probationary position lasting one-year from date of employment per RWFRC Personnel Policies and Procedures.
