Job Description Summary

The Purchasing Site Representative will lead and enforce purchasing processes, coordinate purchasing activity between local and corporate teams and will focus their time as follows:

  • 40% Ingredients and direct materials
  • 40% Indirect & Factory Services
  • 20% Procurement Administration, Processes, and Reporting

Essential Duties and Responsibilities

Procurement Administration

  • Work in partnership with accounts payable (AP) and finance to ensure new vendors/suppliers are set up in compliance with Bel standards and best practices.
  • Support AP and proactively and collaboratively problem solve issues of discrepancies with receipts and invoices.
  • Maintain contracts specific to assigned factory and/or categories in SAP and My digital Contract and by working with cross functional stakeholders to gain adherence to contracting policies.
  • Collaborate with master data administrators to set up new vendors/suppliers/item codes in SAP.
  • Translate needs from the different departments at the factory into purchase requests through the SAP system and enter Purchase Requests/Orders.
  • Code in SAP each purchase order by department; ordering to be validated by plant controller. Use a high degree of accuracy in this process.
  • Generate monthly/periodic reports with procurement KPIs & communicate to upper management and work on corrective actions.
  • Actively participate in budgeting process and PPV management
  • Support purchasing category leads in collecting data and compiling necessary reports related to procurement corporate social responsibility & sustainability, projects, annual reporting, and audits; generate various reports as requested.

Direct & Indirect Procurement Categories

  • Assist ingredients & cheese procurement category lead with the ongoing management and or monitoring of assigned sub-categories.
  • Assist indirect/services procurement category lead with strategies execution, ongoing monitoring and management, and activities related to LC Factory Services/CAPEX/OPEX + assigned special projects for the North American region.
  • Support the procurement champion and be the liaison at the factory for productivity program and execution of a total delivered cost reduction projects.
  • Actively participate is proposing strategies to optimize procurement expenses without compromising quality or service and be the voice of the factory operations.
  • Participate in supplier business and relationship reviews to ensure compliance to enterprise standards and help identify continuous improvement opportunities.
  • DMP/Magda/Specs: work with supply base to gather relevant quality documents, certifications, and specifications and upload/maintain in systems for assigned ingredient sub-categories.
  • Lead supplier corrective action reports and other supplier quality monitoring and reporting activities including follow ups and escalation to central teams.
  • Responsible for launching RFQs, RFI and competitive bidding, analysis, and proposal of options to regional procurement category leads for approval and lead the implementation.
  • Responsible for purchasing alignment of offers within a broad team, negotiation with vendors (payment terms, pricing, freight conditions, delivery, installation, insurance, etc.).
  • Responsible for solving issues of discrepancies with receipts and invoices through vendor inventory management and entering goods receipts.
  • Participate actively in the regional procurement community.
  • All other duties as assigned.

  • Follow all food safety procedures.
  • Maintains a sanitary and safe work area; performs housekeeping duties as necessary and/or required.
  • Detects potentially hazardous conditions and problems and takes appropriate action to report and/or correct. Actively participate in Gemba/PCS/BSV factory walks.

Minimum degree and experience required:

  • Minimum of High school Diploma or equivalent.
  • Bachelor's degree in Business Administration, Supply Chain Management, Procurement, or related field preferred.
  • Equivalent of 5 years of relevant work experience.
  • Microsoft Office (Word, Excel, Power Point), ERP systems and SAP knowledge.

  • Ability to multi-task and prioritize a diversified workload, meeting established deadlines with minimal supervision.
  • Must possess excellent interpersonal skills and the ability to work with various departments, internal teams, as well as external suppliers and vendors.

Working Conditions: Work is performed largely in an office environment at a manufacturing site. Hours of work will generally be during regular business hours and average at least 40 hours a week. At times there will be some variation in work hours due to special projects, deadlines and other concerns.
