Catbird is looking for a highly organized full time Purchasing Coordinator for Contract Manufacturing (CM) to work at our Brooklyn office.

The Purchasing Coordinator is responsible for supporting the CM Production Manager with outsourced assembly orders from our partners. The Purchasing Coordinator works to ensure that production schedules are met and shipments of finished jewelry are completed on time. The Coordinator works with our internal planning teams to expedite product through the various manufacturing organizations we work with. The ideal candidate for this position is extremely flexible and thrives in a fast-paced, rapidly growing and changing environment. We are looking for someone who enjoys taking initiative, and is equally comfortable in a spreadsheet and on the phone. Purchasing and jewelry experience is required.

Key Responsibilities

  • Partner with CM Production Manager, Purchasing Director, Studio Management, Merchandising, and Design/Development to develop and expand the Catbird contract manufacturing program
  • Plan production timelines and order quantities based on projections; evolve with them as sales are realized
  • Placing purchase orders and monitoring progress of PO's
  • Reporting on the status of PO's, vendor success, QC rates
  • Receiving production orders and routing to Quality Control
  • Coordinate the supply plans for raw materials required for outsourced production in partnership with other members of the Purchasing team
  • Navigate shifting priorities and understand how to finesse changes with our vendors, with the goal of creating a more reliable and more flexible supply chain
  • Proactively identify opportunities and make recommendations as they relate to the short-term and long-term success of the Catbird product lifecycle
  • Constant communication and collaboration with other departments to determine timing of orders and how to meet production needs
  • Be an expert in our ERP/purchasing software and work to keep the information accurate
  • Create processes, procedures, and reference materials & maintaining them
  • Maintain knowledge of market and industry trends
  • Liaise with multiple departments and teams including Product Development, Pre-Production, Merchandising, Quality Control, MRO, Marketing, Customer Service, and the retail stores
  • Stay informed of current costs and forecasts of potential market changes that may affect our margins
  • Weekly and monthly reporting
  • Sourcing materials, suppliers, and vendors
  • Negotiating costs and labor prices with vendors
  • Assess vendors on a regular basis
  • Working together with teams and IT to develop and implement new processes to coincide with software system updates

Our Ideal Candidate

  • 3 years minimum of successful prior production and/or purchasing experience required
  • Prior jewelry experience required
  • Experience in vendor management, especially around giving feedback, providing in-person direction, and managing delivery dates is essential
  • Experience in supply chain functions (sourcing, purchasing, inventory control, cost management, quality management, and planning) a major plus
  • Experience working with direct-to-consumer e-commerce a plus
  • Experience working in a manufacturing environment
  • Flexible and open to completing vendor visits and other rote tasks (QCing and counting materials upon receipt, counting inventory, RTV's and credits, etc.) that fall under the responsibility of the Purchasing team
  • Demonstrated propensity to incorporate data into decision-making
  • Proficiency in inventory, ERP, and financial software
  • Multitasker with the ability to prioritize
  • Able to set deadlines and commit to them
  • Communicates professionally and accurately by phone, email and in person
  • Not afraid to pick up the phone and talk to strangers!
  • Confident in having hard conversations with vendors
  • Also understands the importance of updating core departments with challenging or difficult information and updates as quickly as possible
  • Highly proficient in Excel and Google Sheets
  • Comfortable with numbers. This team loves math!
