About this job

The Manager of Facilities is responsible for all aspects of facilities management, including maintenance and repairs, supervision of the Facility Technicians, prioritization of work orders, and provision of customer service to employees requesting assistance from Facilities. They assist in implementing preventative plans for facilities operations.

essential duties

  • Monitor the maintenance of buildings, grounds, and equipment.
  • Survey each agency site on a regular basis to determine maintenance and repair needs and assist in developing maintenance plans.
  • Hire, train, supervise and provide direction, mentoring and oversight of the work the Facilities technicians perform.
  • Perform routine preventative maintenance and/or repairs to facilities, including plumbing, HVAC, carpentry, drywall, security alarms, and other building systems, as well as vehicles, equipment, and groundskeeping.
  • Oversee the Facilities ticketing/request system and ensure requests are appropriately and promptly prioritized, delegated, and courteously responded to.
  • Communicate with, seek, and provide feedback to the managers who oversee program services, and foster a relationship of mutual ownership of the properties.
  • Facilitate the maintenance of agency vehicles and keep them in safe operating condition through inspections, preventative maintenance, and prompt repairs.
  • Collaborate with the Director of Facilities to implement the agency’s Facilities goals and action plans.
  • Perform diagnostic and mechanical appraisals/assessments to determine how to appropriately repair systems and buildings.
  • Coordinate with vendors to complete repairs and maintenance if the work needed exceeds the capacity and knowledge of the Facilities Technicians.
  • Mitigate site hazards through routine inspections and emergency maintenance.
  • Partner with the Director of Facilities to conduct regular/annual capital needs assessments for all properties.
  • Track and purchase materials and supplies needed for each site.
  • Partner with the Director of Facilities to develop and maintain the Facilities Division Budget.
  • Monitor and authorize expenditures to ensure compliance with budgetary plan.
  • Ensure timely payment of maintenance and building expenses by reviewing and submitting invoices and the purchase requests to Accounts Payable.
  • Work with the Chief Risk and Compliance Officer and Director of Facilities to identify and mitigate facility-related risks and ensure safety and health-related compliance by implementing appropriate risk management procedures.
  • Partner with the Chief Risk and Compliance Officer and Director of Facilities to monitor and implement Federal, State and County compliance codes and ensure all sites and facilities meet the required standards and OSHA requirements.
  • Collaborate with the Chief Risk and Compliance Officer and Director of Facilities to develop, update and implement updates to safety, fire, emergency, and other building plans, to ensure compliance.
  • Ensure all Friends of Youth facilities provide a safe, secure, and healthy environment for employees, clients, and visitors, and meet required operational standards and State of Good Repair objectives.

Education and Experience

  • High school diploma or GED equivalent required.
  • Project Management experience
  • Minimum of 5 years of relevant work experience required.
  • Minimum of 2 years of supervisory experience required.
  • Experience providing customer service via a ticketing/request system preferred.
  • Experience managing Vendors preferred.
  • Demonstrated knowledge of MS365 Power Platform.
