Position Summary:

The Accounts Payable/Receivable Coordinator is responsible for providing financial, clerical, and administrative services to ensure efficient, timely and accurate recording keeping and payment and collection of accounts.   The Accounts Receivable Coordinator has a passion for delivering superior customer service by demonstrating a positive attitude when working with customers, vendors, and associates. 

Primary Responsibilities:

  • Be the first point of contact for resolving accounts payable and accounts receivable issues.
  • Prepares, verifies, records and posts customer payments and transactions daily related to accounts receivable. 
  • Submit weekly billings statements to customers. 
  • Identifies delinquent accounts by reviewing files and coordinates collections with customers via written communication. 
  • Research customer discrepancy short payments.  
  • Receive and verify invoices and requisitions for goods and services.
  • Process and verify invoices for payment to vendors, ensuring integrity and timeliness of invoices being paid. 
  • Verify expense coding and obtain necessary signatures.
  • Prepare check batches, balance reports, route checks, and maintain accounts payable filing system.
  • Setup and maintain integrity of new accounts payable vendors.
  • Obtain W-9 form for all new vendors.
  • Balance accounts receivable system and perform research for customers.
  • Maintain accounts receivable filing system and control logs.
  • Participate in the monthly, quarterly, and yearly closing process and complete account reconciliation.
  • Provide excellent customer service in response to customer and vendor inquiries.
  • Provide administrative support to ensure effective and efficient office record keeping.
  • Assist with other administrative projects within the company. 
  • Assist with corporate rollover calls from switchboard. 
  • Ensure confidentiality and security of all financial files.
  • Assist in other areas as needed.
  • Supports GFSI and FSMA. Assist in ensuring that the SQF system is in place and that we are in compliance with all aspects of HACCP plan, SSOPs, and GMPs throughout the plant. Reports all food safety issues to an immediate supervisor.
  • Supports an accident-free work culture.  Communicates the importance of Safety in support of an accident/injury free work culture. Takes appropriate action to minimize risk. 

Other Qualifications:

  • Ability to excel in detailed bookkeeping related work.
  • Good computer and 10 key calculator skills.
  • Previous accounting/bookkeeping related work experience.
  • Strong analytical skills.
  • Ability to work independently and with others.
  • Proficiency in Microsoft Word, Excel, and QuickBooks.
  • Passion for improving performance.
  • Exercise sound judgment and confidentiality in all company matters.

Education and Experience:

  • Desired Education – High School Diploma or equivalent
  • Desired Degree – Business or Associate or advanced training/experience a plus
  • Desired Job Experience – Minimum two (2) years administrative and/or work-related experience
