Job Description

This position is responsible for providing facilities management services to the main headquarters and five service centers. This includes supporting the Facilities Manager in facilities relocations, preventative maintenance, cleaning services, and repair services as directed.

DUTIES & RESPONSIBILITIES

  • Assists Facilities & Banquet Manager with resolution of facility tickets as assigned in the Zendesk work order system, ensuring projects are completed on time and stakeholders are communicated with.
  • Provides administrative assistance to the Facilities and Banquet Manager in securing vendor repair and inspections, and properly stores vendor invoices, service center leases, and other vendor contracts and service agreements.
  • Regularly utilizes the Facility Preventative Maintenance Tracker and schedules vendor repairs or maintenance for any abnormalities or system malfunctions as reported by the Facilities Coordinator II.
  • Maintains a neat and orderly catering kitchen and assists the Facility & Banquet Manager with stocking and organizing the space for efficient workflow.
  • Monitors the quality and consistency of janitorial and day porter services at the headquarter office, and resolves any issues with the vendor in a timely manner.
  • Supports Safety Awareness activities such as fire-drill exercises, maintains full knowledge of Injury, Illness and Prevention Programs and office safety procedures and policies, and as a resource to the Safety Officer and the Safety Committee.
  • Serves as backup to the Facility and Banquet Manager to manage access to control equipment that includes video surveillance, fire and burglar systems and monitoring, HVAC, lighting controls, AV controls and activating/deactivating access key fobs.
  • Serves as backup to Facilities Assistant II to provide meeting and event coordination and support, including room setup for training rooms and large meetings in the banquet room, which will include providing coffee/drink service setup.
  • Serves as a backup to the Facilities Assistant ll to complete a monthly facility health and safety visit to each service center, and is available to make additional trips to service centers as directed by the facilities and Banquet Manager.
  • May need to be available before or after hours for facility related issues that may arise due to weather related incidents, power outages or office closures.
  • Performs other related duties as assigned by the Facility and Banquet Manager.

  • This job has no supervisory responsibilities.

KNOWLEDGE & SKILLS:

  • High school diploma or general education degree (GED) and a minimum of 1 year of related experience in a facilities role.
  • Computer Skills Required: Strong functional knowledge of word processing software such as Microsoft Word, spreadsheet software such as Microsoft Excel, Email and calendaring software such as Microsoft Outlook.
  • Must be able to legally work in the United States without sponsorship.
