Responsibilities:
As an Operations Assistant with a focus on solar projects, you will be responsible for a variety of tasks to ensure the smooth functioning of our operations. Your primary duties will include:
Customer Appointment Confirmation:
- Confirming appointments with customers for solar consultations and installations.
- Managing the scheduling system to optimize efficiency.
Assistant to Operations Manager:
- Providing administrative support to the Operations Manager in day-to-day tasks.
- Coordinating with various departments to facilitate seamless operations.
Project Tracking
- Identify Project Stages and Needs to move project through the pipeline expeditiously
- Maintaining accurate records of project-related time-off allowances.
Permission to Operate
- Submitting and tracking PTO requests for team members working on solar projects.
- Maintaining accurate records of project-related time-off allowances.
Permit Coordination:
- Pulling necessary permits for solar installations in compliance with local regulations.
- Ensuring all documentation is complete and filed appropriately.
Skills/Qualifications:
- High School Diploma or GED required
- Previous administrative experience, with a focus on the solar industry preferred.
- Strong organizational and time-management skills.
- Effective communication, including the ability to speak clearly, listen attentively, and write eloquently is vital for interactions with team members, clients, and other stakeholders.
- Proficient in office software (e.g., Microsoft Office Suite).
- Proficient use of a computer, including typing, utilizing a keyboard, and operating a mouse, is essential for this position.
- Ability to multitask and prioritize tasks effectively.
- The ability to organize and maintain a neat and orderly workspace is important for efficient workflow.
- Occasional lifting and carrying of office supplies, documents, or other materials may be required. The ability to lift and transport items of moderate weight is beneficial.
- The ability to read and view information on a computer screen, documents, and other written materials is crucial. Candidates should have adequate visual acuity.
- Sitting for extended periods of time. This role involves working at a desk and using a computer for extended periods. Candidates should be comfortable sitting for long durations.
- Precise use of hands and fingers for tasks such as typing, writing, and handling small office equipment is necessary.
