Job Description: Receptionist/Office Services’ Clerk (Washington, DC)

Position Summary: The receptionist/office services’ clerk will answer telephone calls, greet and provide information to visitors, coordinate conference room bookings, handle catering for meetings and perform light clerical duties including data entry, filing and printing as requested.

Location: 13th St NW, Washington, DC 20005

The hours of the position are from 8:30 am–5:30 pm.


Responsibilities include, but are not limited to:

 

  • Main Switchboard: Answer calls promptly using MS Teams. Respond to general questions and route callers to appropriate persons within the firm. Take messages and follow up as required.
  • Client/Visitor Interaction: Register guests with building security. Greet clients/visitors and direct them to appropriate persons within the firm. Accept deliveries and notify recipients of deliveries in a timely manner. Maintain neat and orderly appearance of reception area and conference rooms. Keep accurate calendar of all conference room and visitor office bookings. Arrange catering for client/internal meetings as requested. Arrange transportation (i.e., cabs and/or sedans) for clients and visitors as requested.
  • Conference Room Bookings: Manage conference room bookings for internal and external meetings using Condeco. Coordinate catering orders for external/internal meetings. Also includes working with IT department to coordinate any IT items needed for meetings.
  • Clerical Assistance: Print documents as requested by clients/visitors. Provide light IT support. Serve as back up support for Office Services' department as needed. [This includes but is not limited to sorting mail, coordinating courier services, arranging floral deliveries, assisting with compiling name badges for events, etc.] Perform other related tasks as assigned by Office Manager.

Skills, Abilities and Key Strengths:

  • 2+ years of related experience.
  • Proficiency with Microsoft Office Suite and familiarity with Outlook (or other email system). Knowledge of MS Teams.
  • Strong organizational skills and attention to detail. Able to work independently and to very high standards of accuracy and efficiency.
  • Must be able to prioritize competing work demands and multi-task.
  • Strong team player – reliable, flexible, helpful and willing to work outside regular hours as needed.
  • Excellent interpersonal and client service skills and a positive ‘can-do’ approach.
  • Ability to effectively work and liaise confidently and competently with all levels of staff within the firm.
