Job Description

Position Summary: We are seeking a highly organized and versatile Human Resources and Office Assistant to join our dynamic team. In this role, you will play a critical part in ensuring the smooth functioning of our office environment by handling a combination of Human Resources responsibilities and receptionist duties. The ideal candidate will possess excellent interpersonal skills, attention to detail, and the ability to juggle multiple tasks with a positive and proactive attitude. Please note that due to the nature of this role, this is an in-office position, 5 days per week.

Essential Duties and Responsibilities

Office Assistant/Reception Duties

  • Establish and maintain strong vendor relationships
  • Act as an alternate contact for property management, and cleaning company; coordinate scheduling for office maintenance or repairs
  • Assist with onsite meeting setup, training sessions, company lunches, etc.
  • Answer incoming phone calls to Stretto’s main line promptly and courteously and route them to the proper staff/department
  • Receive, sort, and deliver mail/packages
  • Order and maintain office and kitchen supplies, maintain weekly inventory
  • Assist with hotel reservations or other travel arrangements for overseas employees
  • Assist with office safety programs
  • Assist with other ad-hoc projects and tasks as assigned

Human Resources Duties

  • Assist with recruiting process: job postings, scheduling interviews, coordinating background/drug screenings, etc.
  • Manage and coordinate onboarding activities, scheduling HR orientation, applicant tracking report, coordinating with IT seating locations and workstation, maintaining updated seating chart
  • Assist in organizing employee engagement initiatives and company events.
  • Maintain and update employee records, ensuring accuracy and confidentiality
  • Prepare department expense reports
  • Respond to employees’ inquiries sent to the HR distribution list: respond or escalate to other members of the team as appropriate
  • Assist with employee development and compliance initiatives

Education and/or Work Experience Requirements

  • Must be able to work onsite full-time in our Irvine headquarters.
  • High School Diploma, Associate degree strongly preferred.
  • Minimum three (3) years’ experience in dynamic office environment strongly preferred
  • Familiarity with HR processes and practices
  • Excellent communication and interpersonal skills
  • Ability to use judgment to escalate issues as appropriate
  • Positive and professional demeanor, both in person and over the phone
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Proficient with MS Office; intermediate experience with Excel, Word and PowerPoint a must
  • Experience with ADP Workforce Now a plus

The annual pay range for this role is currently $24 – 28 per hour. The Company’s salary ranges are determined by role, level, location and alignment with market data. Individual pay is determined through interviews and an assessment of various factors, including job-related skills, relevant education and experience, abilities of the applicant and equity with other team members. The hourly pay range listed here is subject to change at any time, in the Company’s discretion, and does not alter in any way the at-will nature of the employment relationship.
