Job Description
JOB SUMMARY

This position is responsible for taking in all plan review submittals from multiple clients and keeping them informed of review status. Ensuring submittals are complete for plan review staff to perform a complete review. This person is also responsible for ensuring that deadlines are met and per client contract appropriate fees are being charged.

RESPONSIBILITIES
  • Stamp all items received with date.
  • Review all items received and confirm submittal is complete with index.
  • Log-in and log out all phases of plans from jurisdictions into Plan Check Database, ex: New Projects, Corrections, Re-Submittals and Approvals.
  • Enter all information necessary to plans; City Plan Check numbers, address, valuation, contact information, fees, dates etc.
  • Follow through to see all plans are assigned to plan checker and that information is entered into Plan check Database.
  • Ensure plans are scanned and uploaded to the Plan Check Database.
  • Log-out plans with Corrections or Approval:
  • Review plan reviewer comments and/or transmittals and edit and re-format when necessary, ensuring all contact information, plan check number, address information is included.
  • Ensure comments to applicant and to the jurisdiction are based on specific protocol.
  • Verify plans are stamped correctly on approvals and seek guidance from plan reviewer whenever necessary.
  • Collate plans and prepare for packaging and shipping (courier or overnight).
  • Set courier route and coordinate with courier.
  • Track and order supplies as needed for department.
  • File department documents appropriately.
  • Verify GSO bill charges.
  • Direct phone calls regarding plan check questions to correct plan checker.
  • Occasionally act as our courier.
  • Scan, as time permits.
  • Perform other related duties as required.
QUALIFICATIONS
  • Two years of previous general office /data entry or clerical experience preferred.
  • A high School diploma, or GED is required. College, or some college is a plus.
  • Experience with record keeping, document review, filing, scanning, photo copying.
  • Ability to type or input data quickly and efficiently.
  • Ability to answer and make phone calls, track packages, supplies, and assist with package labeling/ shipping.
  • Must be reliable, consistent, and punctual with attendance.
  • Able to periodically drive to client sites to pick up and or drop off plans.
  • Attention to detail and strong organizational and time management skills.
  • Critical thinking and problem-solving skills to identify and resolve problems in a timely manner.
  • Excellent communication skills toward effective collaboration and client services.
  • Excellent computer skills; Proficient in Microsoft Office and Outlook.
  • Possession and maintenance of a Valid Class "C" California driver's license is required.
WORKING CONDITIONS
  • General office environment.
  • May require lifting up to 35 lbs.
  • Regularly requires working in sitting position at workstation for extended periods.
  • Regularly requires working with computer for extended periods.
  • Periodically drive to other sites to pick up or drop off plans.

The compensation for this position is $23.00 to $26.00 per hour
