Job Summary:
As a Dispatch Administrator at RC Maintenance Holdings, Inc., you will be a key contributor to the efficient coordination of our maintenance and repair operations. Your role involves ensuring the seamless deployment of field technicians to client sites in a timely and organized manner. Your attention to detail, strong communication skills, and ability to make quick decisions will be critical to the success of our operations.
Key Responsibilities:
- Follow-Up with Sub-contractors on Invoices and Photos:
- Maintain regular communication with subcontractors to ensure timely submission of invoices and required project photos.
- Verify the accuracy and completeness of invoices before processing for payment.
- Coordinate with subcontractors to resolve any discrepancies or issues related to invoicing or photo documentation.
- Ensure compliance with company policies and procedures regarding invoicing and documentation requirements.
- Update Notes in Customer and Our Portal:
- Accurately document project progress, communications, and any relevant updates in both customer-facing portals and internal systems.
- Ensure all notes are detailed, organized, and easily accessible for reference by team members and stakeholders.
- Collaborate with other team members to maintain consistency and accuracy in information across all platforms.
- Proactively identify and address any discrepancies or inconsistencies in the notes to maintain data integrity.
- Fulfill Purchase Orders (PO) from Draft Status:
- Review draft purchase orders to ensure completeness and accuracy of information, including pricing, quantities, and delivery details.
- Coordinate with relevant departments or stakeholders to finalize and approve purchase orders for processing.
- Monitor the status of purchase orders to ensure timely fulfillment and delivery of goods or services.
- Address any issues or delays in the fulfillment process promptly and effectively to minimize disruptions to project timelines or customer satisfaction.
- Process Billing:
- Execute billing procedures accurately and efficiently, adhering to established timelines and protocols.
- Verify billing information against contractual agreements, purchase orders, and project documentation to ensure accuracy.
- Generate invoices in accordance with customer requirements and billing schedules, applying any applicable discounts, taxes, or adjustments.
- Coordinate with accounting or finance departments to resolve billing discrepancies or address customer inquiries in a timely manner.
Required Qualifications:
- Experience in Construction Trades: Prior experience in the construction industry or a related field to understand the nuances of our operations.
- Computer Literacy: Proficiency in using computer applications and software relevant to dispatching and data management.
- Typing Skills: A minimum typing speed of 40 words per minute to ensure efficient data entry and communication.
- Detail-Oriented: Strong attention to detail to minimize errors and enhance the quality-of-service delivery.
- Comfort in High-Stress Environments: The ability to remain composed and make well-informed decisions during high-stress situations is essential for success in this role.
- Math Proficiency: Strong mathematical skills to handle equipment rentals, project scheduling, and related calculations accurately.
- Customer Service Skills: Excellent customer service skills to interact professionally with clients and provide them with exceptional support and information.
- Communication: Outstanding communication skills, both written and verbal, to effectively relay information to technicians, subcontractors, and clients.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to lift up to 15 pounds at times.
