We provide land acquisition, geospatial mapping, data management, web-based GIS, community relations, land feasibility studies, and permitting services. Canacre’s clients include developers, large scale service providers, and government entities that are involved in the planning and development of energy projects, rights of way, resources, and infrastructure across Canada and the United States. The Document Specialist will be responsible for document management as an embedded professional working in our office. The Document Specialist will be in charge of updating, maintaining, storing, recording, and retrieving documents in support of the team. The Document Specialist  will also assist with administrative tasks, document preparation, land rights research, reporting, and communication.

In addition, your role will be to:

  • Responsible for the preparation of documents needed for the acquisition of real estate rights for Company facilities including easements, deeds, leases, licenses, permits, damage agreements, right of entry agreements, option agreements, contracts, and other documents as required.
  • Prepare working files, project files, offer letters and packets for delivery by mail or in person by the agents assigned to the project
  • Responsible for document management involving filing legal documents, recording, parceling & indexing and retrieval.
  • Generate mass mailings of letters, notices and other correspondence to multiple property owners and other stakeholders related to project activities, status and schedules potentially affecting their property
  • Prepare other documents such as letters, memos, transmittals, schedules, reports, budgets, charts, payment schedules and presentations using standard computer tools such as word processing (Word) and spreadsheets (Excel), and presentation software (PowerPoint).
  • Willingness to learn new skills and software to support ELM tasks and functions including but not limited to;
    • Coordination of payments to landowners for property rights through internal SAP system
    • Investigate and respond to internal and external customer inquiries in matters related to property rights such as existing easements, electric and gas franchise agreements, and boundary lines
    • Serve as legal witness as necessary for condemnation or other proceedings
    • Update and maintain project and/or ELM databases
    • Generate and monitor progress and status reports for projects
  • Scan documents for indexing and electronic storage in the project database or other locations designated by ELM
  • Assist with other administrative tasks as assigned by ELM team members

Qualifications:

  • Post-secondary degree in a related field
  • Professional administrative experience preferably in a professional services environment
  • Strong organizational, file and time management skills
  • Exceptional attention to detail
  • Computer literacy (working knowledge of Microsoft Office software, Google Earth)
  • Clear, concise written and oral communications
  • Strong interpersonal skills
