Overview

This position provides administrative support to Heights Tower Service's Northern Ohio Project Team. This is a client facing role and requires the ability to effectively communicate with employees at all levels of the organization, including senior leadership, HR, sales, and project managers. If you are an organized, detail-oriented administrative professional with the ability to interact professionally with employees at all levels, we encourage you to apply.


What We Need from You

To thrive in this role, you should have at least one (1) to two (2) years of administrative experience and must be able to demonstrate excellent organizational and time management skills. Strong communication and interpersonal skills, coupled with demonstrated proficiency using Microsoft Word, Excel, PowerPoint, and Outlook are desired. Construction or telecom industry experience in a similar role is preferred, but not required. Additionally, you should be able to:


  • Manage complex calendars and scheduling needs, juggling competing priorities under tight deadlines.
  • Track and help drive completion of key deliverables by following up on outstanding items; prepare, update, and/or maintain project trackers as directed.
  • Manage equipment tracking for all serialized items; track fleet registration and repair logs.
  • Assist with organizing and executing team activities.
  • Record meeting minutes and produce quality written summaries.
  • Set up accounts and profiles as requested by management. Set up projects in database for bid/project tracking and organization.
  • Request, organize, maintain, and route (as needed) project files and documentation, which may include permits, work orders, Notice(s) to Proceed, Notice(s) of Commencement, Notice(s) of Termination, Build of Materials, Deployment Packages, and related notifications; personnel assigned to site, letters of consent, close out requirements, special inspection letters, etc.
  • Confirm receipt of appropriate permits and approvals prior to initiating Notice to Proceed.
  • Request and review site surveys and construction drawings, tracking revisions to construction plans.
  • Coordinating inspections and utility provider processes and ensuring timely delivery of services; obtaining related application statuses from local jurisdictions.
  • Aid with the preparation of closeout package documentation.
  • Confirm with field or conduct final site inspections.
  • Coordinate and provide sub-contractor requirements.
  • Coordinate and issue schedules to crew members, related staff, and management team.
  • Provide status reports as requested to customer representatives, notifying client of issues/concerns with projects (including the company's plan to address).
  • Provide site information to 3rd party vendors regarding site conditions, specifications etc.
  • Coordinate lodging for traveling field crews.
