POSITION: CONSTRUCTION ADMINISTRATOR

We are currently seeking a qualified and dynamic Construction Administrator to join our team at COMANCO. We are looking for an individual who can support various departments within our organization.

Job Focus:

  • Maintain a comprehensive client list in Pre-Con by inputting data, including adding new accounts and contacts and updating existing information in the PRE-CON database.
  • Maintain the bid schedule and review for accuracy.
  • Document Control: Request and obtain new bid documents; accurately file and name, organize and maintain bid specifications, plans, estimates and all related documents in the correct bid folder. This function includes research using the internet to retrieve documents for bids.
  • Effectively and accurately communicate relevant bid information to the estimating team.
  • Responsible for addendums: check, review, and save addendums for each bid and report all information to the Estimating team and others, as needed.
  • Responsible for obtaining plan holder list for each sub bid. Responsible for contacting all General Contractor's selected on plan holder list after Management review and adding selected GCs to PRE-CON.
  • Responsible for completing and updating all bid-related, document control, spreadsheets for each bid.
  • Order bid bonds and maintain information on the bond log, if required.
  • Order Certificates of Insurance, if required.
  • Prepare bid packages and additional bid documents to be submitted as proposals, ensuring all documents are accurately completed and properly executed. Management must review all bid documents before submittal.
  • Ensure all bids are labeled correctly and delivered to the correct place at the correct time. Responsible for following up on delivery confirmation and bid results.
  • Maintain complete and accurate information about bid status and bid results in Pre-Con.
  • Prepare and submit prequalification packages, as required. Ensure all prequalifications are labeled correctly and delivered to the correct place at the correct time. Responsible for following up on delivery confirmation and prequalification results.
  • Responsible for developing 'inside sales' relationships with key clients and subcontractors.
  • Responsible for updating and maintaining the 'Statement of Qualifications.'
  • Responsible for updating the Company project resumes and retrieving historical project data.
  • Research upcoming projects for prospective bidding and provide all project information to management for review.
  • Attend and participate in the weekly Estimating/Sales Meeting.
  • Create purchase orders in Spectrum, as requested.
  • Renew all General Contractor's licenses and license bond renewals and maintain the 'License Master List.' Timely prepare and submit all renewal documents to ensure licenses and bonds do not expire. Prepare and submit applications for new licenses timely.
  • Create New Hire Job Assignments for each class.
  • Work directly with and assist Estimators, as needed.

  • OPERATIONS:

  • Prepare and review all incoming contracts, collect all required documentation, and ensure proper
  • Order all contract bonds and maintain information on the bond log, if required.
  • Order all Certificates of Insurance, if required.
  • Accurately scan and file all contract documents in the correct project folder and save to Spectrum.
  • Create purchase orders in Spectrum, as requested.
  • Assist in reviewing and correcting all expense reports for Project Managers.
  • Assist with research and data entry for specific projects.
  • Prepare reports, letters, presentations, and documents, as requested by Management. If a Florida Notary license is attained, notarize documents, as needed.
  • Work directly with and assist Project Managers and Project Engineers, as needed.

Qualifications:

  • Education: High School Diploma required
  • Experience: Minimum 2 years or more of customer service, estimating/bidding processes, and project management support.
  • Skills: Proven ability to manage multiple projects/activities in a dynamic, fast-paced environment. Superior communication and organization development skills. Strong interpersonal skills and ability to work with cross-functional teams. Ability to interact and communicate effectively and positively both verbally and in writing (in English).
  • Mathematical Skills: Ability to add and subtract two-digit numbers and multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance.
  • Computer Skills: To successfully perform this job, an individual must be able to master software unique to the company in minimum time. An individual must have a working knowledge of the Internet, Microsoft Outlook, Word, Excel, PowerPoint, and Adobe.
