Events and Hospitality Manager

Position Overview: The Events and Hospitality Manager is responsible for overseeing the physical events and hospitality-related facilities, administrative and operational procedures related to the hospitality department, and the management of the Saracina events and hospitality team. The Events and Hospitality Manager will report into the General Manager and will set the day-to-day standard for providing exemplary sales and customer service to winery guests. This oversight encompasses the Saracina tasting room, event planning and execution, wine club membership and online/ecommerce sales. This position is required to be on site.

Location: Hopland, CA (Ideal candidate will reside within 30 minutes of Hopland, CA )

PRINCIPAL DUTIES AND RESPONSIBILITIES (Other duties may be assigned):

People and On-Site Management:

  • Oversee operations and facilities of tasting room and surrounding grounds. Ensure clean, well-organized, and functional tasting room environment, including tower, restrooms, and patio areas.
  • Staff, train, and lead the tasting room team, ensuring all visitors have a positive and memorable experience.
  • Set the standard for best-in-class industry hospitality, further elevating Saracina as the premier destination for Mendocino County.
  • Acts as the primary point of contact for the management team regarding the policies and procedures for the tasting room, events, and on-site hospitality.
  • Ensure the tasting room is diligent in following the rules and regulations required by the California ABC and other local authorities, maintaining staff and guest compliance at all times.
  • Monitor Tasting Room menu and point of sales materials for wine clubs, sign-up forms, shipping order forms and general office supply needs. Coordinate with Office Manager to place reorders for supplies with company-approved vendors.
  • Oversee public and private event planning and execution, including reception of distributors and other wine industry visitors.
  • Oversee retail merchandising, including organizing the tasting room to maximize sales opportunities.
  • Maintain schedule of Saracina cottage in coordination with management teams; ensure proper cleaning and maintenance. Ensure cottage guests are welcomed and escorted to their cottage.
  • Oversee, manage and act as point person for all events-related on-site construction and set-up.

Sales and Membership Management:

  • Develop sales and membership goals on an annual basis, with quarterly goals, incentive programs, and the execution of set goals within a determined budget.
  • Manage and process on-site shipping orders, annual wine club shipment schedule and consumer communication, and assist in online order fulfillment and customer service when necessary.
  • Manage vendor relations related to direct sales (wineshipping.com, ShipCompliant, winedirect.com, etc.).
  • Complete accurate data entry of shipping orders, wine club sign-ups and mailing list sign-ups.
  • Assist in developing relationships with local and Bay Area wineries and hospitality industry businesses (e.g., hotels, tour companies) to build visitor base.
  • Conduct outreach to other hospitality industry businesses and private interest groups and corporate entities to secure private events and tours.
  • Develop and maintain an annual event calendar with management and marketing teams to increase overall visitation and sales.
  • Handle other responsibilities and events as assigned by management team and ownership

Financial Management:

· Assist in the development of a general DTC marketing budget and plan to ensure sales and membership goals are met.

· Responsible for accurate and complete daily, monthly and annual sales reporting.

· Working with the Office Manager, maintains tasting room daily sales records; reconciles cash receipts daily; tracks samples, damage and other non-sales transactions; works with Office Manager to reconcile discrepancies in cash and credit card sales and trains staff as necessary.

· Oversee monthly inventory reporting of wine, food items, retail items and shipping supplies for the Tasting Room.

QUALIFICATIONS:

· Bachelor’s degree preferred.

· Three years’ experience of wine sales, luxury sales, brand marketing or hospitality experience reflecting increasing levels of responsibility.

· Possesses the communication skills and technical ability to perform and manage all assigned functions in a timely manner.

· An intrinsic knack for customer service and satisfaction.

· Ability to effectively and successfully manage tasting room team.

· Proficient with all Microsoft Suite products (Word, Excel, Outlook).

· Proficient with POS systems (WineDirect, eWinery, Shopify, ShipCompliant).

· Proficient in handling cash, making change, and basic math.

· Strong working knowledge of office equipment, including computer and telephone systems.

· Ability to manage multiple concurrent projects and track details with accuracy and efficiency, utilizing internal Click Up system or other appropriate electronic tools

· Ability to interact appropriately and positively with internal and external personnel at various levels, and to handle sensitive and/or confidential issues with tact and discretion.

· Outstanding verbal and written communication skills.

· Required to work weekends and a flexible schedule.

· Ability to lift and carry 40 pounds.

Compensation:

Range: $60-100k/year

Actual placement within range will be contingent upon a number of factors, including but not limited to the candidate's qualifications, education, experience, internal equity and alignment with market data.
