Job Description
We are seeking a dynamic and versatile individual to join our team as a 40 hour week, fulltime Mobile Office Assistant based in Houston, TX. This unique role involves traveling to various offices within Houston to provide essential administrative support and ensure smooth office operations. The ideal candidate is highly organized, adaptable, capable of handling diverse tasks with efficiency and professionalism.
Job Responsibilities:
- Print and Copy: Assist with printing, copying, scanning, and binding documents as requested by team members. Ensure office equipment is well-maintained and stocked with necessary supplies.
- Reception: Serve as the first point of contact for visitors, greet guests, answer incoming calls, and manage inquiries with professionalism and courtesy.
- Mail and Packages: Receive, sort, and distribute incoming mail and packages, ensuring timely delivery to the appropriate recipients. Prepare outgoing mail and packages for shipment as needed..
- Catering: Coordinate catering services for meetings and events, including ordering food and beverages, setting up catering stations, and ensuring a seamless dining experience for attendees.
- Conference Room Set-Up: Prepare conference rooms for meetings and presentations, including arranging seating, setting up audiovisual equipment, and providing necessary materials and supplies.
- Light Maintenance: Perform basic maintenance tasks such as replacing light bulbs, troubleshooting minor office equipment issues, and coordinating with facility management for larger maintenance needs.
Qualifications:
- High school diploma or equivalent; additional education or certification in office administration or related field is a plus.
- MUST HAVE prior experience in Printing/Binding and Reception
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent communication skills, both written and verbal, with a professional and friendly demeanor.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (printers, copiers, scanners).
- Flexibility to travel within Houston and adapt to different office environments as needed.
- Valid driver's license and reliable transportation.
