SUMMARY
Provides administrative support to the General & Service Managers. Compiles and maintains records of the business transactions and office activities of the dealership. The Role of the CIC is a very important piece to the success of Nebraska Truck Center Inc. You are instrumental in establishing and maintaining the “Elite Support” culture in our location.
ESSENTIAL DUTIES for Administrative Assistant
- Answers incoming phone calls in a prompt, polite, professional manner.
- Handles special clerical projects as instructed by the General & Service Managers. (Items include but are not limited to: Document imaging, Journal Entry/Data Entry)
- Performs clerical duties for the dealership business office, including but not limited to balancing of the petty cash box.
- Provides support for any accounting, parts, or service clerical position on an as-needed basis.
- Files accounting work, correspondence, and other records.
- Greets service customers and assists with write-ups and opening of repair orders.
- Composes from technician notes and prepares routine service invoicing.
- Assists with Express Write-up, Express Assessment, and UptimePro documentation entry (Express and UptimePro are DTNA specific programs and may change or change names over time).
- Assists with the closing of service repair order month end process.
- Records orders for merchandise or service.
- Schedules appointments when necessary.
- Makes copies of correspondence or other printed matter.
- Maintains office equipment (i.e., copiers, printers, fax machines, etc.). Trains dealership personnel in its use and troubleshoots problems.
- Maintains a knowledge of basic dealership information to act as a resource for incoming callers requesting such information.
- Maintains professional appearance and neat work area.
ESSENTIAL DUTIES for Continuous Improvement Coordinator
- Coordinate Elite Support Certification and annual recertification. Keep everyone focused and on task in regards to Elite Support Criteria for Annual Recertification.
- Facilitate Continuous Improvement (CI) and Change Management Team (CMT) meetings.
- Responsible for Elite Support Reporting.
- 5S Audits posted to the HUB – Monthly.
- Express Assessment (EA) Tracking reported to SSI – Monthly.
- Continuous Improvement Event – Quarterly.
- Self -Assessment – Every 6 Months.
- Communicate, Train & Coach CMT.
- CMT & Dealership Walk Around facilitation (at least 1 per month).
- Prepare Action Plans key to your success/for follow-up.
- Use Structured Problem Solving Tools.
- Be the Leader & Champion for Elite Support.
- Use metrics / proof from your CI Events.
- Ensure you have “Value Added” CI Events.
- Responsible for communication board(s).
- Have CI metrics posted.
- Post department Key Performance Indicators (KPI).
- Help with process development & mapping by seeking to eliminate waste and streamline our processes. (Huddles)
- Be a Champion for Uptime Pro & Express Assessment or other programs developed by DTNA to enhance Elite Support.
- Help with/facilitate 5S projects.
- Be an active participant on the HUB & use the tools in the HUB (5S Audits, CIE) to train & help others in the dealership on how to use the HUB.
- Set annual goals/strategic plans and ensure you meet them.
- Organize all Elite Support training, meetings, and celebrations.
- Attend Daimler’s scheduled Elite Support Web meetings/phone calls. (Be prepared to share best practices with CIC group.)
- Network with other CIC’s (you are not on an island – Share openly & borrow proudly).
- Attend Daimler’s annual CIC Summit.
