Position Summary:

The role of Experience Coordinator will maintain a high level of attention and care by responding quickly to our Member's needs and wants for dining and suites reservations. An impeccable attention to detail and maintaining knowledge of their preferences and our offerings at CORE: NY. The ideal candidate would be able to connect with our Members in a highly personalized fashion even without being face to face. They bring hospitality to the tone of their words both written and verbally.


Responsibilities & Duties:

  • Answer all incoming phone calls and requests for Restaurant/Hotel Reservations, and create/modify/cancel bookings as necessary while liaising with our members.
  • Fiedling all calls from CORE: suites and taking in-room dining orders. Extensive knowledge of our menu and the ability to upsell with beverage offerings and additional courses.
  • Cross-reference all reservation bookings to check accuracy for arrival and departure dates, member profiles, room blocking, special requests, and ensuring attention to all member needs/preferences.
  • Review Arrivals/Reservations Entered reports daily and make adjustments or help support the EA team on the floor in making Room Keys and Writing Welcome Notecard.
  • Make connections with our upcoming Members or their assistants to get updated ETA and manage any special requests with ease.
  • Confirming all Event Bookings, Large Party reservations and Cultural Programming RSVP Lists.
  • Ensure accuracy and attention to detail in making sure billing and notes are all up to date.
  • Processing of no shows, check outs, and facilitating communication between all departments involved.
  • Liaison with finance to make sure all payments are processed properly.
  • Support the EAs, Leads and Managers by monitor room inventory and notifying of any limited availability.
  • Stepping in to cover the floor for breaks or if necessary to be an added layer of support.
  • Run daily reports and complete daily shift task list and Assist the EAs by taking a call or helping on an email, as needed.
  • Maintain positive working relationships with partners and other parties associated with the reservations process.

Experience Coordinator and Qualifications:

  • Must be fluent in English (speaking/reading/writing)
  • Working knowledge of the following: Microsoft applications including Outlook, Excel, and Word.
  • Candidate must be positive, motivated, kind, team player, well organized, efficient and informative
  • Punctual, enthusiastic, and detail oriented, thorough and a quick learner
  • Be able to work effectively in a collaborative office environment
  • Strong organizational skills
  • Able to work as a contributing member of a team as well as independently
