The Accounts Payable Processor will be responsible for ensuring efficiency and accuracy in the recording of Accounts Payable transactions and releasing and processing purchase orders. The AP Processor will also be responsible for email and or phone responses to suppliers and internal members of our company. Applications will be accepted until 4/30.


Responsibilities

  • Assist with the monthly, quarterly, and yearly close of the books, concentrating on accounts payable.
  • Performing and processing of day-to-day financial transactions, including verifying, classifying, and recording accounts payable data (GL #, Job # & Cost Center).
  • Verify and investigate any discrepancies by reconciling vendor accounts and monthly vendor statements.
  • Entering purchase orders based on internal requests and ensuring accurate coding and approvals.
  • Understanding expense accounts and cost centers.
  • Understand compliance issues around accounts payable processes (W-9, sales tax, etc.)
  • Prepare and submit credit applications for new vendor accounts.
  • Maintain and manage vendor information in the accounts payable module, including but not limited to setting up new vendors, keeping electronic and hard copy records of requests and W9s, and ensuring payment terms are set up and maintained properly.
  • Handle and resolve any incoming vendor calls, inquiries, and other correspondence, including distribution to the appropriate department staff as necessary.
  • Maintain effective relationships with business partners/vendors through timely and accurate payments and response to inquiries.
  • Assist with weekly check runs as needed.
  • Identify and escalate priority issues timely to management.
  • Provides internal and external audit assistance if needed; gathers necessary account information and documents to perform interim & annual audits.
  • Assist with preparing 1099’s.
  • Maintains knowledge of acceptable accounting practices and procedures.
  • Performs other related duties as assigned.
Requirements:
  • Strong Microsoft Excel experience including pivot tables, VLOOKUP, XLOOKUP & CONCATENATE functions.
  • 3+ years of Accounts Payable experience.
  • Ability to organize a daily workload by priority.
  • Understanding of basic principles of finance & accounting.
  • Excellent communication and organization skills.
  • Proficiency with automated accounting systems.
  • Ability to work independently on assigned tasks.
  • Consistently strives to improve processes and gain efficiencies, including participation in the testing of new accounting and other system functionalities.
  • Ability to work within timelines given and communicate efficiently and respectfully with internal and external inquiries.
  • Ability to adapt quickly in a fast-paced environment.
