Position Summary
In support of US Sailing's mission to grow and strengthen the sport of sailing, the Ecommerce Operations Coordinator will be responsible for collaborating across the business for the production, sales and distribution of merchandise and publications including inventory control, inventory reconciliation and purchasing. This work will include maintaining and improving the member and ecommerce databases. This is a critical interface between US Sailing and its customers and members.
This role requires a detail-oriented, customer service professional to analyze inventory trends, improve processes, and deliver a first-class member experience. A successful coordinator will work on diverse assignments and be a leader in managing operational tasks to increase efficiency across the association. They will possess excellent organization and problem-solving skills. The position is a crucial support member of the organization.
Essential Duties and Responsibilities
  • Responsible for sales and distribution of publications, soft goods, and merchandise, including processing bills for payment for inventory
  • Responsible for relationship between US Sailing & 3rd party provider - managing the ecommerce storefront inventory, pricing & billing
  • Manage daily operations of sales for all departments' products, fulfilling and shipping all orders in the US Sailing Store
  • Provide first-class customer service to customers, including responding to emails and phone calls, providing information on availability, pricing, and bulk purchasing, assisting customers with issues logging in or placing an order, and communicate with and process orders for international customers and net 30 customers
  • Oversee the purchase of inventory and maintain records
  • Maintain accurate product database locally and web based and manage inventory in multiple locations
  • Coordinate quarterly physical counts and work closely with the Finance department to ensure accurate reconciliation
  • Maintain the web store including products, images, descriptions, pricing, updates, and categories
  • Purchase and receive-in products from vendors
  • Order and receive packing and shipping supplies for web store purchases
  • Establish and maintain effective working relationships with outside vendors, internal stakeholders, and customers
  • Coordinate with accounting department on invoices for both vendors and customers, ensuring accurate account coding and timely payments
  • Collaborate with Marketing and Partnerships departments to get new inventory in and maintain inventory levels with new merchandise
  • Work with human resources and other departments regarding new hire requisitions, and other engagement requisitions cost/inventory
  • Track inventory levels, define reorder points, and communicate with departments
  • Anticipate needs and prevent problems and errors, leveraging automation and system capabilities appropriately
  • Analyze expenses related to postage and shipping and develop solutions or alternative methods for processing ecommerce orders
  • Collaborate with Membership Communications Coordinator and Marketing team to advertise products, packages, and courses, especially aligned with events or times of year to align with sales
  • Drive idea and brainstorming sessions with additional departments to add product ideas or packages for increased sales
  • Track sales and item history to monitor and report progress regularly
Minimum Qualifications (Knowledge, Skills, and Abilities)
  • Bachelor's degree in a relevant field or equivalent work experience preferred
  • Minimum 2 years' experience working with computers and databases
  • Ability to multitask and work around obstacles, with a focus on delivering the best service to stakeholders
  • Proficient in Microsoft Outlook, Excel, Word, PowerPoint, SharePoint
  • Experience with customer service, ideally in ecommerce or retail sales
  • Understanding of inventory control
  • Profit and loss knowledge
  • Must possess excellent verbal and written communication skills dealing with members, organizations, vendors, government and the public
  • Must possess excellent organizational and prioritization skills along with the ability to multi-task and problem solve
  • Knowledge of sailing a plus
