Intellectual Property Legal responsibilities will include maintaining the trademark docketing database, e-filing patent and trademark applications and other documents with the USPTO, filing foreign trademark applications and files, preparing correspondence, tracking docket matters, maintaining and organizing electronic and paper filings and other general administrative duties. Procurement Legal responsibilities will include administrative tasks associated with requests for agreements from Enterprise Procurement. At least initially, this position will support primarily trademark and agreement matters. Support for patent matters will be on an as needed basis.



We are currently seeking an Administrative Assistant to support Intellectual Property and Procurement Job ID 146254. The right candidate will be an integral part of our talented team, supporting our continued growth. This position will be located in our Shelton, CT location.



Responsibilities include, but are not limited to:

  • Managing all administrative aspects of company's international patent and trademark portfolios
  • Electronically filing patent and trademark applications and related documents with the US Patent and Trademark Office and with the World Intellectual Property Organization through the International Bureau.
  • Preparing and filing information disclosure statements for US patent prosecution.
  • Corresponding with foreign associates regarding patent filings and patent and trademark searches
  • Conducting status inquiries to insure that patent and trademark prosecution progress smoothly
  • Preparing and filing Statements of Use and Extension Requests for trademark applications
  • Organizing and maintaining patent and trademark files and (ii) organizing and creating databases of references cited to and by the patent office in US patent prosecution
  • Conducting and providing results of basic trademark searches and corresponding with foreign associates regarding needed searches
  • Supports Procurement Legal Team in the following areas:
  • Assist in creating templates, drafting, execution, monitoring, and filing of commercial agreements, including input to and maintenance of commercial agreements database
  • Assist in management of contracts database
  • Assist with budget and financial reporting as it relates to the Intellectual Property and Procurement Legal group.
  • Provides backup as needed with travel arrangements and expense reports and similar administrative needs of General Counsel and IP Director

Qualification
  • Paralegal certification, especially with focus on intellectual property, a plus; Associate's degree
  • A minimum of three (3) years' experience supporting patent attorneys, either in-house or at a firm, additional experience supporting trademark attorneys is a plus
  • Experience docketing patent and trademark deadlines, either directly or working with a docketing department; ability to conduct a first pass evaluation of all IP-related correspondence in order to docket US deadlines with minimal supervision using a docketing program, but having skills and knowledge to check the docketing program and to add internal deadlines, as needed.
  • Experience electronically filing US patent and trademark applications and obtaining and filing supporting and related documents, including obtaining legalized documents from consulates and US Patent and Trademark Office, preparing transmittals, declarations and assignment documents
  • High level of comfort using PAIR (Patent Application Information Retrieval system) through the USPTO website
  • Ability to prepare templates for and file electronically patent prosecution documents, such as responses to office actions; information disclosure statements
  • Excellent communication skills - written and verbal; specifically, ability to communicate with foreign associates about patent and trademark prosecution with minimal supervision
  • Ability to work closely with attorney to insure that deadlines are met and to take responsibility for reminders
  • Excellent organizational skills; ability to organize and maintain files and correspondence (with patent and trademark office and internally, as needed) with minimal supervision
  • Confidence and skills to run the administrative aspects of a medium size, growing patent and trademark portfolio
  • Working knowledge of patent and trademark maintenance fee system
  • Excellent knowledge of Microsoft Suite of programs: Word, Excel, PowerPoint; ability to work with and organize data using Excel spreadsheets
  • Strong research, analytical and writing skills
  • Attentive to detail, conscientious and thorough
  • Strong interpersonal skills - ability to work in team environment.
