Position Title:Administrative Assistant
Reports To:Managing Director

POSITION SUMMARY:
Performs administrative and office support activities for multiple supervisors. Duties may include fielding telephone calls, receiving and directing visitors, word processing, filing, and faxing. Extensive software skills are required, as well as Internet research abilities and strong communication skills.Provides office services support by implementing administrative systems, procedures, and policies, and monitoring administrative projects.

ESSENTIAL DUTIES:
•Use computer word processing, spreadsheet, and database software to prepare reports, memos, and documents
•Sort incoming mail, faxes, and courier deliveries for distribution
•Prepare and send outgoing faxes, mail, and courier parcels
•Forward incoming general e-mails voicemails to the appropriate staff member
•Purchase, receive and store the office supplies ensuring that basic supplies are always available
•Code and file material according to the established procedures
•Update and ensure the accuracy of the organization's databases
•Back-up electronic files using proper procedures
•Provide secretarial and administrative support to management and other staff
•Make travel, meeting and other arrangements for staff
•Coordinate the maintenance of office equipment

REQUIREMENTS:
•Minimum of 2 years experience in fast-paced working environment, preferably manufacturing
•Able to handle multiple and changing priorities while keeping projects moving forward
•High School Diploma required; post-secondary education in business, computers, or office management isdesired.
•Must have formal training in office procedures and use of office equipment.
•Must have the ability tocommunicate accurately and clearly both orally and in writing
•Must have pleasant telephone manner; able to .thinkon feet when dealing with callers with a customer service “can do” approach to work.
•Knowledge ofcomputers; specifically, experience in Microsoft Office is required.
•Must have superior organizationalskills and accuracy.
•Excellent problem solving and people skills also required.
