The Administrative Assistant -- Event Coordinator will provide administrative, clerical, and event planning / management / coordination services at the GE Global Research Oil & Gas Technology Center (OGTC). This position will also work in support of communications efforts for the OGTC.
The Administrative Assistant -- Event Coordinator reports to the Operations Manager and is responsible for office and clerical services within the OGTC office and includes facility wide event planning, management, and coordination services.
You will:
Arrange for, support, and coordinate all activities and services to meet the needs of an event host, including approvals, orders, deliveries, set-up, execution, arrange for clean-up, vouchers, and follow-up activities to assure satisfactory outcome.
Assist in the planning and preparation of meetings, conferences and conference telephone calls
Schedule meetings and daily appointments
Receive and place telephone calls, direct and relay telephone messages and fax messages
Make travel arrangements
Support the communications leader
Receive, review, and distribute all incoming correspondence and documents to proper individuals for action
Organize / maintain an efficient filing system for correspondence records, reference data, reports, and sensitive documents
Provide administrative and clerical assistance to other employees, as required
Pick up and deliver the mail
Open and date stamp all general correspondence
Maintain an adequate inventory of office supplies
Provide word processing and secretarial support to the Operations Manager
Interact and coordinate with internal and external leaders and administrative staff
Perform other duties as required Qualifications/Requirements Bachelor's Degree or applicable equivalent experience
At least 5 years of secretarial, clerical, or administrative experience, including event planning / management duties
Proficiency in Microsoft PowerPoint, Word and Excel
Strong oral and written communication skills
Strong interpersonal skills
Experience in handling phone systems and other office equipment
Highly motivated, confident, able to work without direct supervision
Ability to work well in a team environment and to perform under pressure/against tight deadlines
Professional approach, good judgment, creative problem-solver
Highly organized and attentive to detail
Maintain high level of integrity and confidentiality
Legal authorization to work in the U.S. is required; we will not sponsor individuals for employment visas, now or in the future, for this job opening
Must be willing to work out of an office located in Oklahoma City, OK
Must be willing to take a drug test and submit to a background investigation as part of the selection process
Must be 18 years or older
