Job Description:

  • Validate Raw Material and Packaging Material supplier options.
  • Contact the vendor & obtain quotes, lead time, and shipping info.
  • Obtain approval for PO.
  • Send PO to the vendor & include a copy in the vendor/purchasing folder.
  • Cross-check internal shipping costs vs vendor offers to obtain the best shipping cost.
  • Update & maintain a shared purchasing log with the plant.
  • For internally coordinated shipments to the plant, run point on all logistics aspects including BOL until the shipment arrives at the plant.
  • Own all aspects of inventory including inputting inventory (increasing) when products arrive to

Job Responsibilities:

  • The purchasing assistant is responsible for sourcing raw materials, packing, equipment, goods, and services as well as managing vendors. Also, one must be able to perform strategic procurement activities across multiple categories, search for better deals, and find more profitable suppliers.
  • A purchasing coordinator is responsible for routine and impromptu purchases made by the company from its affiliated vendors. This includes preparing and processing purchase orders or purchase requests, keeping records of purchases, keeping vendor information up to date, providing training on related applications and policies, and preparing descriptions and bids when necessary.
  • A purchasing coordinator facilitates the acquisition of company supplies and equipment and ensures that vital inventory is kept in stock. Once an order is placed with a vendor, the purchasing coordinator will schedule delivery of the desired items and ensure that the purchase is properly documented and recorded.
  • The purchasing coordinator will guarantee that materials, supplies, and equipment orders are placed in a timely fashion so that the company does not suffer a shortage. The job requires communicating with representatives in other departments of the company for supply orders, keeping those employees up to date on the status of orders that have already been placed, and assisting with any necessary returns.
  • The purchasing coordinator will work closely with the accounting department to resolve problems with invoices and set up accounts with new vendors and will be the point of contact within the company for any vendor inquiries or issues.
