Description

The primary role of the Legal Administrative Assistant is to support several attorneys within the legal department. This person will maintain electronic legal billing database and systems along with providing general administrative support to the litigation attorneys, paralegals and legal specialists.

  • Generally serves as the overall administrative lead for several litigation attorneys,paralegals, and legal specialists and performs other administrative and legal service duties on an as-needed basis.
  • Primary administrator for the legal department’s e-billing software system and helps on-board new firms and matters; oversees and coordinates the approval process for payment of legal bills that are paid outside of the e-billing system and tracks legal expenses.
  • Becomes familiar with the company’s Outside Counsel Standards and advises firms on billing expectations, as needed.
  • Processes various legal documents, correspondence, and other material using proper document formats.
  • Creates,maintains and organizes the litigation files for the department.
  • Responsible for settlement checks for legal settlements by preparing all the paperwork,getting approvals, working with Accounts Payable to get the checks cut, issuing the checks and ensuring all the documentation is put in the right place.
  • Works cooperatively with contacts in other corporate departments such as IT, Finance, HR, AP and Payroll to ensure smooth and efficient transactions.
  • Key user of the Center for Medicaid/Medicare Services (CMS) database: ensuring all claimants in our legal cases are entered into the CMS database and ensuring any settlements are entered in.
  • Maintains various spreadsheets and enters data and runs reports from databases that support the legal department.
  • Retrieves information from our Service of Process software system, and disseminates to the right internal attorneys and/or departments.
  • Assembles information and data for preparation of documents, correspondence, and reports.
  • Makes continuous effort to improve operations and streamline work processes.
  • Maintains professionalism and confidentiality in handling sensitive information and documents.
  • Makes travel arrangements for the team, as needed, and processes expenses and expense reimbursements through the company’s P-Card system.
  • Schedules and organizes meetings and handles meeting logistics.
  • Schedulesand organizes teleconferences.
  • Performsother related duties and activities as required.
  • Periodically covers the reception desk.

Qualifications

Requirements:

  • Associate’s Degree or equivalent. Bachelor’s degree preferred.
  • Minimum oftwo years of experience as a Legal Assistant.
  • Knowledge of and regular user of Excel is CRITICAL. Experience with Access is a plus.
  • Ability towork independently with strong problem solving skills.
  • Strong communication skills are imperative as this person will be managing relationships internally and externally.
