Currently, Integrity is seeking an Educational Program Coordinator Earn $20 - $21 per hour to start Join one of the area's most reputable universities. This is a 3-4 month contract position. Reports directly to Director of the Externship Program. Primary Function: The Educational Program Coordinator is responsible for day to day operations of the Externship Program and collaborates with the Director in the development, organization, and maintenance of the external clinical educational program of the department. Principal Duties and Responsibilities: 1. Represents the Externship Program in a professional and courteous manner. 2. Interacts with students, staff and faculty within the College and University, people with whom the Director interfaces, and other constituencies in a professional manner. 3. Assists students in routine problem solving and directs more complex issues to appropriate staff members as necessary. 4. Communicates with personnel from the Department for to facilitate the integration of the clinical educational program. 5. Collaborates with the Department for the Practice Educational Program Coordinator to determine yearly 4th year TEI clinic needs, survey students for TEI selection, collects and collates choices, prepares Excel spread sheet, and distributes final schedule to the Offices of the Department for the Practice Medicine and the Externship Program. 6. Answers telephone for the Program in a prompt and courteous manner. Screens all calls, takes messages, maintains a daily appointment calendar, greets visitors to the Office, schedules meetings and appointments, and arranges and maintains travel itineraries, enabling the Office to run in a smooth, orderly manner. 7. Prepares yearly Externship Program calendar, identifying recurring annual activities and due dates. 8. Composes letters and responses to specific and routine correspondence at the request of the Director and Assistant Director. 9. Creates and maintains systems to assure efficient and orderly filing and retrieval of information essential to the operation of the Program and the Office of the Director. 10. Performs computer assignments utilizing Microsoft (including Mail Merge) and Access applications, setting up systems for routine correspondence, reports, and special projects. 11. Assists the Director and other appropriate individuals in collecting data, data entry, and organization of data relevant to program assignments. 12. Corresponds with students regarding attendance issues, as well as collects and monitors absence forms. Refers complex attendance issues to the Director of the Externship Program. 13. Assists the Director and other appropriate individuals in transmitting, collecting and organizing clinical evaluations for the purposes of facilitating the grading process. 14. Corresponds with students and preceptors as appropriate regarding clinical deficiencies and outstanding clinical evaluations to determine if a deficiency or outstanding evaluation is related to timeliness of student submission and/or site deficiencies. 15. Reviews incoming student clinical evaluations and preceptor/site program evaluations daily, immediately conveying deficiencies to the Director. 16. Program evaluations are reviewed, rated, and submitted to the Data and Technology Assistant or appropriate person for entry into the CTS preceptor profile. 17. Maintains an updated list of current preceptor adjunct faculty members as well as communicates with preceptors, the Office of Faculty Affairs, and the Office of the Dean in recommending preceptors for appointment to Adjunct Faculty status upon recommendation by the Director of the Externship Program. 18. Represents the Office of the Externship Program in meetings with students, Academic Progress Meetings, etc, in the event of unavailability of the Director/Assistant Director. 19. Communicates with preceptors (doctors involved in the Externship Program) as needed including phone surveys/inquiries. 20. Prepares materials and all arrangements for site visits, including travel and site/preceptor plans. 21. Assists Director in the development, distribution, and analysis of student and preceptor surveys for the purpose of program quality assurance, maintenance and improvement. 22. Provides student support by preparing and distributing handouts regarding preceptor and clinical site information. 23. Coordinates and completes special projects including events such as student and preceptor round tables and the on-campus Preceptor Fair. 24. Records, transcribes, and archives departmental meeting minutes. 25. Sorts incoming mail and review and screen all correspondence and publications directed to the Program. 26. Coordinates the management of the department budget through preparation of check requests, reconciliation of credit card transactions, bank deposits and submission of monthly financial income reports, for example, manage office depot account, special project funds, and budget on Jenweb. 27. Assures complete confidentiality of all personnel, student and preceptor information and activities. 28. Performs any other related duties as assigned. Or a minimum of 3 years experience in a position of similar administrative responsibility. Skills and Other Requirements: Demonstrates a quality work ethic. Demonstrates excellent communication skills including verbal, written, and grammar. Pleasant personality and highly developed interpersonal skills. Proficient in computer skills, including use of the Internet, Microsoft office (Word including Mail Merge, PowerPoint, Access and Excel) Ability to accurately type 55 wpm.
