Provide administrative assistance to the Optum Chief Executive Officer (CEO). Primary responsibilities include answering and directing calls, complex meeting and calendar coordination, extensive travel arrangements and general administrative support. Work will be done in concert with Optum CEO's chief of staff.


 


Primary Responsibilities:



  • Provide sophisticated calendar management; prioritize inquiries and requests while troubleshooting conflicts with little guidance; make judgments and recommendations to ensure smooth day-to-day engagements

  • Work in a professional and focused manner to schedule internal and external meetings

  • Ensure materials are prepared and distributed prior to meetings

  • Keep executive and chief of staff apprised of last minute requests and changes

  • Provide complex travel arrangements, including corporate jet, car service and hotel accommodations; become familiar with the specific, detailed needs and preferences of executive; create consistent travel itinerary for reference and be available during travel times to quickly address any last minute changes, updates or cancellations

  • Administer correspondence, manage incoming calls, and prioritize phone messages, emails and mail; handle all calls and visitors with grace, sophistication and professionalism, ensuring a professional, responsive and effective experience for customers, key relationship partners and internal stakeholders

  • Act as delegate for chief executive officer and appropriately approve time and expense reports, building access requests, and regular systems access requests. Seek guidance from chief of staff as appropriate

  • Prepare for meetings including location, scheduling teleconference services and ordering meals (if required)

  • Accurately track and report expenses by managing credit cards and receipts. Process and submit receipts accurately and on schedule

  • Maintain confidentiality and use a high degree of discretion

  • Develop and maintain productive working relationships with other Executive Assistants

Requirements

Required Qualifications:



  • Associate's Degree; combination of relevant education and experience may be considered in lieu of degree

  • 5+ years of experience in a related administrative capacity supporting Senior Executives

  • 5+ years of experience executive-level leadership

  • Strong interpersonal, verbal and written communication skills

  • Ability to be available on-demand, if needed, to quickly address any last minute emerging needs

  • Demonstrates flexibility and agility

  • Proven ability to work well under pressure and handle multiple tasks in an efficient and timely manner, and responsiveness to changing deadlines and priorities

  • Ability to multi task, respond to changing deadlines and priorities, and on-demand availability

  • Demonstrated ability to handle issues in a highly confidential and sensitive manner to achieve outstanding results

  • Performs varied tasks to support executive requiring professionalism, judgment in problem solving and knowledge of policies, processes and procedures

  • Proficient in Microsoft Office, Power Point, Outlook, Internet
