Position Summary:This executive assistant position will support Executives with the administrative functions of the organization.
Essential Job Functions:
- Manages calendar for Executives - Schedules all appointments and conference calls with little or no direction and determines availability of participants Plans routine parts of schedule and independently resolves schedule conflicts.
- Answering incoming department phone calls, Take call back messages, Handle questions, understands the needs, and or transfer to appropriate staff members for expedient disposition.
- Coordinates end-to-end travel arrangements and take initiative to arrange the most efficient itinerary, secure reservations, prepare travel and expense reports, and maintain receipts and records.
- Coordinates all logistical aspects of on-site and off-site meetings, including developing an invitation list based on knowledge of appropriate internal and client/industry contacts, site selections, meal planning, proactive confirmation, and on-site support.
- Provide concierge-level service for visitors, meeting participants, and out of town guests.
- Serve as ambassador for executive staff by maintaining a professional, cordial demeanor.
- Assume leadership of customer escalations directly for individuals or from Office of President, including tracking, documenting, and escalation.
- Increase the efficiency and effectiveness of the organization ' s leaders by creating letters, reports, org charts, and presentations independently and without substantial direction.
- Implement organizational and administrative processes to ensure a productive work environment Maintains intuitive filing system for client files and/or projects.
- Highly available and takes responsibility for arranging for back-up support when unavailable for extended periods of time.
- Develops, maintains, and actively manages key contact files.
- Develop, maintain and produces various computerized databases, reports, presentations and manuals.
- Codes accounts payable invoices for payment; purchases supplies with P-card and reconciles monthly statements.
- Oversees office equipment needs, including cell phones and other electronic equipment and researches available products to ensure purchase of appropriate equipment.
- Ensures that equipment in the Executive area is operational and arranges for maintenance or repair when necessary.
- Demonstrated commitment to the Time Warner Cable Values.
- Other duties as assigned.Job Requirements:
- Ability to maintain high level of confidentiality, professionalism and responsibility while working with highly confidential and sensitive information.
- Ability to complete tasks thoroughly and timely in a fast-paced environment with a strong sense of urgency.
- Strong working knowledge of MS Word, Outlook, Power Point, Excel, and Microsoft Project.
- Posses the ability to learn specific software programs as needed.
- Excellent interpersonal and communications skills including written and verbal.
- Exceptional administrative organizational, and document management skills.
- Ability to handle various tasks simultaneously, organize, prioritize, make decisions and work efficiently and effectively under deadlines.
- Ability to think through a problem, analyze and break it down into parts to resolve or come up with a logical solution.
- Ability to deal with irate or difficult customers, vendors, or public officials.
- Professional demeanor with excellent attention to detail.
- Valid driver ' s license and safe driving record.Education and Experience:
- Associates degree (A A) or equivalent form two-year college or technical school: and 5-7 years experience; or equivalent combination of education and experience.
- Minimum 5 years executive administrative experience, with proven success supporting a senior executive.
