Position Summary

The Executive Assistant is responsible to provide administrative support for Senior Management in a timely, efficient, and professional manner. Communicate regularly with Senior Management, staff, clients, and vendors.

Essential Job Duties and Responsibilities

Executive Support
  • Provide administrative support by coordinating executive’s calendar, meetings, and travel arrangements
  • Manage phone calls, faxes, mail, inquiries, and expense reporting
  • Conserve executives’ time by reading, researching, and routing correspondence
  • Prepare and edit general communication and correspondence
  • Prepare meeting materials and presentation decks for a variety of needs including but not limited to Board of Directors meetings
  • Serve as liaison between Senior Management, Middle Management, and other department staff


Project Management and Department Support
  • Ensure special projects are completed in a timely manner by performing and coordinating appropriate tasks
  • Assist with developing presentations and reports by assimilating and compiling specific and necessary data
  • Organize and maintain files, follow-up/pending and reminder systems for various recurring projects and reports
  • Document and information management and filing


Supervisory Responsibilities:

Direct Reports

This position does not have supervisory responsibilities for direct reports

Indirect Reports

May delegate work of others and provide guidance, direction and mentoring to indirect reports

Travel and/or Driving Requirements:
  • Travel and Driving are not essential duties or functions of this job


Minimum Qualifications


Education Level: (Required): Associate's Degree or equivalent experience

Field of Study/Area of Experience: Business
  • 3-5 years in executive administrative experience with “C-level” Management, preferably in CPG industry


Skills, Knowledge and Abilities
  • Accurate typing speed of 85 WPM
  • Ability to work in a fast paced environment while serving as a liaison to department heads, managers, associates, Clients, and Customers.
  • Demonstrate discretion and confidentiality in the handling of highly sensitive issues
  • Excellent written and verbal communication skills
  • Able to handle multiple tasks and projects simultaneously in a very organized fashion
  • Proactive work ethic with utmost attention to detail
  • Knowledge of basic research fundamentals
  • Team player with a positive attitude
  • Flexible and adaptable to change
  • Demonstrates commitment to meeting or exceeding customer expectations, effectively solicits and responds to the needs of the customer both external and internal
  • Works cooperatively with others toward common group objectives, demonstrates respect for the ideas and contributions of other team members, cultivates positive relationships with other associates, and provides assistance and support to others
  • Advanced proficiency in Microsoft Office (MS Word, Excel, PowerPoint and Outlook)


Environmental & Physical Requirements

Office / Sedentary Requirements

Incumbent must be able to perform the essential functions of the job. Work is performed primarily in an office environment. Typically requires the ability to sit for extended periods of time (66%+ each day), ability to hear the telephone, ability to enter data on a computer and may also require the ability to lift up to 10 pounds.
