About this job

Pro-actively coordinate the calendar, itineraries, and meeting logistics for the Senior Director, HR- Finance, Senior Director, HR- Comms, Legal & HR and the Senior Director, OMD

Process complex T&E reports and complete other expense management tasks

Book travel arrangements for the 3 Senior Directors and occasional travel support for broader team

Process invoices, track expenses, PO's and accurate budget tracking/maintenance

Manage the ordering and inventory of departmental supplies and equipment

Schedule team meetings and coordinate meeting agendas. Maintain confidentiality with frequent exposure to highly sensitive information and Executive requests

Screen incoming communication and/or visitors to help manage daily volume

Alert the Senior Directors of urgent requests related to Executive Management or strict deadlines

Respond to routine inquiries or request additional information as needed to redirect appropriate parties

Organize and expedite work flow to ensure requests are complete in an appropriate and timely manner

Proactively monitor and follow-up on pending matters with limited oversight and direction

Assist with the development of PowerPoint presentations and materials

Qualifications :

4+ years of administrative experience in a similar capacity

Excellent interpersonal and communication skills, both written and verbal

Ability to build and maintain solid productive relationships with peers and leadership team

Good executive presence, ability to interface with Executive level management

Must be a strong team player and assist departmental staff when necessary

Microsoft Office Suite Experience required (Strong PowerPoint skills desired)
