TIME BASE: FULL-TIME, LIMITED TERM -- 24 MONTHS - (MAY BECOME PERMANENT AT A LATER DATE)

WORK SHIFT: MONDAY -- FRIDAY, 0730 -- 1600

LOCATION: CALIFORNIA INSTITUTION FOR MEN, ADMINISTRATION, 14901 CENTRAL AVE, CHINO, CA 91710

DESCRIPTION OF DUTIES: Provides secretarial and administrative support to the Prison Industries Administrator. Composes, types and assembles a variety of management correspondence and statistical production reports as directed. Maintain all Prison Industry Authority (PIA) Administration files and procedures manuals. Answers incoming phone calls, maintains appointments calendar, and keeps track of pending assignments for the Prison Industries Administrator. Communicates and disseminates information to PIA Central Office, as well as other persons and/or vendors outside the institution. Assists customers and ascertains nature of business and directs to appropriate area/persons. Under direction, types and maintains all personnel documents utilize in Civil Service staff hiring transactions and related reports, as needed by various departments at CIM and/or PIA Central Office. Types a variety of confidential documents such as Letter of Instruction, Employee Counseling, Annual Performance Reports and review Duty Statements. Responsible for daily attendance of record keeping for all staff and monthly distribution to Personnel Department of related reports. Performs a variety of key data entry tasks and transactions by using our Manufacturing and Accounting Systems (EXPLx). Coordinates and Maintains training records for all PIA staff. Coordinates and maintains records supporting our Inmate Employability Program (IEP). Records, transcribes, and distribute minutes of Prison Industries Administrator's Staff meetings. Under general direction maintains archives and performs overall clerical duties to support the various processes within the PIA Administration and its enterprises at CIM. Prepares Security Clearance for all PIA visitors, Processes time sheets. Picks up and processes mail, both incoming and outgoing. Maintains all manuals. Maintains Prevention Program (IPP) files and coordinates the timely filing of State Compensation Insurance Fund (SCIF) Industrial Injury Reports. Coordinates and maintains SCIF logs for PIA inmate employees and civil service staff.

REQUISITE SKILLS AND ABILITIES: Performs difficult clerical work, follow oral and written directions, evaluate situations accurately and take effective action. Communicate effectively. Incumbent utilizes personal computer skills, with a working knowledge of computer programs, including Microsoft Word and Excel, in order to generate office memorandums, reports, documents, etc. independently prioritize responsibilities.
