Position Overview

The Administrative Assistant's primary role is to support the Advisor and provide outstanding customer service to all First Command Financial Services clients. Experience in the field is preferred, although not required. As a company that promotes upward mobility within the company, we enjoy hiring AA's who are also potentially interested in a career in financial services and encourage our staff to obtain licensing in insurance and securities over the first few years at their own pace. This position is a great opportunity for an individual looking to transition industries, or for someone looking to learn about finance and become an advisor.

Responsibilities

Provide exceptional service to all our clients.
Maintain files and records in the client database.
Schedule client appointments and confirm them prior to the appointment date.
Provide pre-appointment paperwork to prospects/clients.
Prepare advisor with necessary paperwork prior to client appointments.
Accurately complete and forward the necessary paperwork after a sale.
Maintain and distribute client suspense's.
Maintain commission, sales, production, and conservation records for the Advisor.
Become proficient in all necessary computer applications used for our client database.
Screen all Advisor phone calls and handle each call appropriately.
Assist in problem resolution and act as the Advisor liaison with the various First Command business partners, as well as the Home Office.
Keep the Advisor and team members up to speed on pending business, production and progress.
Process incoming correspondence, mail, and email.
Assist with District activities when requested.
Prepare client birthday, anniversary, holiday, and other cards as needed for the Advisor.
Perform other duties as requested by the Advisor.

REQUIREMENTS

Self-motivated.
Critical thinking skills.
Attention to detail a must.
Proficient computer skills.
Demonstrated problem solving ability.
1 to 2 years general office experience preferred.
Personable, comfortable engaging clients as a regular part of daily duties.
Excellent organizational, written and verbal communication skills.
Familiarity with various computer products and applications, such as MS Word and Excel.
Ability to handle multiple tasks and thrive in a fast paced environment.
Satisfactory completion of background check, fingerprinting and required employment documentation.
Satisfactory completion of screening/hiring tool if required by District Advisor.
Must be able to perform a clerical exam at a high level with emphasis on accuracy and efficiency.
High school diploma or equivalent life experiences.
