Our client in Downtown Portland, OR is current seeking a Receptionist/Office Manager (greet customers in person & over the phone, shipping supplies for trade shows, fulfillment of customer orders, order office supplies, plan the company Christmas party, water plants, load/unload dishwasher) as well as the Executive Assistant for both the CEO & President (coordinate travel for both for trade shows and manage the payroll/timekeeping system). There are also very monotonous projects that they will receive (data entry, internet investigation, etc), and they should be extremely comfortable with monotony/repetitive tasks.


The Executive Administrator supports the administrative functions of Inavero and the administrative functions for the CEO and President of Inavero. Compliments and assists all departments with projects and general administrative functions within the company.

* Coordinates and manages schedule for the CEO and President.

* Answers phones and general emails.

* Greets office visitors and vendors.

* Researches and books travel for tradeshows and all other events Inavero employees attend.

* Coordinating tradeshow logistics with Marketing and Client Services teams.

* Manages the office environment, including: stocking/ordering office supplies, stocking beverages, watering plants, doing dishes, cleaning refrigerator, etc.

* All aspects of event planning of all company sponsored events, including: offsite retreats, holiday parties, weekly onsite lunches, staff meetings, etc.

* Managing relationships with key vendors.

* Provides survey support backup to Account Coordinator(s).

* Coordinates speaking engagements for CEO, including: schedule, travel, presentations, speaking applications, and contracts.


* Assist Marketing and Client Services departments as needed, including: managing LinkedIn group approval, ordering business cards, ordering thank you cards, etc.

* Maintains punctual, regular and predictable attendance

* Works collaboratively in a team environment with a spirit of cooperation

* Displays excellent communication skills including presentation, persuasion, and negotiation skills required in working with customers and coworkers and including the ability to communicate effectively and remain calm and courteous under pressure

* Respectfully takes direction from manager.
