Summary of Duties: This is a responsible, varied and complex administrative position that performs a wide range of administrative and secretarial duties in the multi- disciplinary Regulatory Support Pool. This position works as a primary support person for program disciplines as assigned, and as a back-up for others. This is work providing administrative support by handling information requests, assisting customers, and performs administrative and clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. This position facilitates the means and objectives of the Department's Outreach Strategies of the Department. In carrying out the duties of this position, the incumbent is expected at all times to be aware of and abide by the Department's Standards of Conduct, as well as any and all departmental and/or work unit rules, directives, policies, procedures, and/or general orders applicable to performing the duties of this position. The incumbent is expected to work with the implementation of the principles of total quality management (i.e. continuous improvement) and the implementation of LEAN methodology to reduce waste and provide services that add value for all customers.

Administrative Assistant I -- Position No. 37010356Provides clerical support for complex actions of the regulatory programs including: word processing of documents, letters, memos, etc.; photocopying and routing of outgoing mail; sending and receiving FAX communications; inputting and retrieving data from various data bases; providing information to the public where applicable; and coordinates these activities with other clerical and professional staff to ensure efficiency. Updates databases and prepares letters and forms with clear correct information free of typographical, formatting and grammatical errors. Establishes and maintains files for the South District. Enters application information in the tracking database systems, as well as Excel tracking databases. Reviews and prepares complex permit applications for further processing by South District staff. Assists in photocopying applications and sending to appropriate agencies, maintaining mailing lists, creating and maintaining file folders and physically performing filing for the South District. Assists in maintaining a database for commenting agencies. Develops and assists in maintaining hard copy and computerized logs of applications, forms, documents, correspondence, and other similar items received by and created within the South District. Develops and assists in maintaining a cross-reference system so materials are located according either to subject, location, or file number.

Assists with coordinating all compliance activities for the South District: assembles and enters data for inspections; provides printouts of activities on files; and maintains updates of activities on files in the system. Provides inspectors with usable forms and information to assist their compliance and enforcement activities. Maintains tracking system for all scheduled and completed actions.

Works proactively to develop streamlined processing opportunities and works cooperatively to enhance the regulatory support team's support for the South District professional staff. Performs outreaches to regulated communities to identify opportunities for process clarification, and instructs applicants on the use of DEP web based services and paperless initiatives. Works with other members of the Regulatory Support team to ensure consistent and appropriate document handling and finalization, database entry, and public information requests.

Operates copying machines, assists with archiving (pre-indexing/indexing into Oculus, etc.) needs and maintains overall familiarity with all such equipment including maintenance and servicing needs. Maintains and coordinates various filing systems, physically performs filing. Serves as backup to the mail room activities, including maintaining records and supplies for Pitney Bowes postage machine. Responsible for handling outgoing paper mail for the Fort Myers office. Assists reception area personnel by professionally answering and screening incoming telephone calls, greeting and referring visitors, providing information to the public, processing incoming mail, and logging checks. Serves as a reception area alternate on a scheduled and as-needed basis.

Proficient in the ability to perform basic arithmetical calculations.

Proficient in the ability as receptionist and telephone operator for the South District Office as needed.

Proficient in the ability to solve problems, make decisions, and work independently.

Ability to maintain a valid Florida Driver's license.

Ability to type 35 words per minute.

Able to lift 20 lbs.

Proficient in working with Microsoft Word, Excel, Outlook software programs

Knowledge, Skills and Abilities (Preferred) include:

Knowledge of GIS software programs

A minimum of 2 years of experience with clerical and administrative duties.

Licensure/registration/certification requirements: Valid Florida Driver's License

Working hours: Daily from 8:00 a.m. to 5:00 p.m. Total hours in workweek: 40 hrs.
