Payroll Administrator

The Payroll Administrator provides client and employee support in areas related to payroll, benefits and file maintenance. The Payroll Administrator is responsible for the accurate, timely delivery of payroll and related services that result in client retention, growth and satisfaction. This position requires heavy problem solving and decision-making governed by procedure, guided by policy and focused on daily operations.

The Payroll Administrator is responsible for the timely and accurate processing of multi-state payroll for current customers which includes all processing activities together with computing wage and overtime payments, calculating and recording payroll deductions and processing miscellaneous payments.

As the Payroll Administrator you will:
  • Ensure effective communication and consideration of both the client’s and Headway’s perspective and liability.
  • Communicate client related information to peers, supervisors and service team members in a timely manner to ensure a consistent service approach
  • Identify and participates in the process to recommend and implement process improvements that result in improved efficiency and effectiveness.
  • Serve as back up to all other payroll teams for client inquiries/issues and payroll support.
  • Perform strategic analysis of payroll needs.
  • Review wages computed and correct errors to ensure payroll accuracy, prepare payroll reports and conduct research.
  • Respond to and assist in payroll issue resolution from Customer Relationship Managers and other departments within the organization.
  • Compile payroll data, enter data, compute and post wages, and reconcile errors to maintain payroll records.
  • Responsible for high volume processing both on-cycle and off-cycle multi-state payroll for customers including termination and separation checks.
  • Audits payroll information for accuracy.
  • Calculate and process Federal and State tax and social security withholdings, other deductions, insurance, benefits, 401(k) contributions and company match.
  • Record changes affecting net wages, such as exemptions, insurance coverage, and loan payments for each employee.
  • Assist in preparing periodic reports of earnings, taxes and deductions.
  • Resolve payroll discrepancies by collecting and analyzing information.
  • Ensure that payroll-related transactions are processed in compliance with policies and procedures.
  • Perform actions necessary to track and determine regular and overtime pay, and factors commission-based income or bonuses into an employee's salary.
  • Review and process payroll adjustments, including vacation, sick, and other time off.


You would be a good fit for this role if you have:
  • High school diploma is required with 1-3 years’ experience in payroll administration or related field.
  • Bachelor’s degree preferred. General HR knowledge of labor practices pertaining to payday law and payroll administration required.
  • Customer service skills in a team environment
  • Experience Interacting with multiple internal and external business units.
  • Effective written and verbal communication skills.
  • Experience delivering payroll services in various client company structures.
  • Experience accurately analyzing payroll data supplied by clients.
  • Experience accurately inputting and balancing payroll data.
  • Knowledge in federal, state and local payroll administration laws, regulations and best practices.
  • Experience in handling multiple task/activities in an efficient and timely manner.
  • Effective follow-up on client and/or internal requests and needs.
  • HR knowledge – understand various HR disciplines and their role and impact on business as it relates to payroll, benefits, taxation, accounting, employment documentation, employment and general HR practices.
  • Proficient experience with Microsoft Office programs at minimum of intermediate level and demonstrated ability to learn other application programs as needed.
