Administrative Assistant

3-5 years of experience supporting multiple executives and projects simultaneously, Expert level knowledge with the MS Office Suite, strong organizational practices. Qualified candidates will be able provide examples of previous experience with regard to: scheduling & calendaring, drafting correspondence, taking meeting minutes, organizing large events and travel arrangements. To ensure success, candidates must possess expert-level skills with the entire MS Office suite including: spreadsheets/presentations.

A high-level administrative support, preparing reports, handling information requests, performing clerical functions, serve as backup to other team members, prepare correspondence, receive visitors, arranging conference calls, and scheduling meetings.

Essential Functions

  • Answer phones, copy/mail/distribute materials to employees, customers and various other parts of organization

  • Gather data/information from a variety of sources, organize into executive level presentations and reports

  • Coordinate and schedule conference calls, onsite meetings, etc.

  • Complete expense reports, manage calendars, maintain office files

  • Excellent written and oral communication skills

  • Highly organized

  • Must be punctual

  • Skilled in operation of computers, and other standard equipment

  • Excellent organization skills, attention to detail and accuracy, and the ability to meet deadlines.
