Job Description

We are seeking an enthusiastic and hard-working Operations Administrative Clerk to join our rapidly growing team. If you want to be an important part of a team that supports our company owned NAPA Stores and Distribution Center, then this is the job for you! The job of the Operations Administration Clerk is to ensure that the assets of the company owned NAPA stores are accounted for and protected from a paperwork standpoint.

Responsibilities

The Paperwork Reduction/Administrative Support Associate is responsible for providing excellent service and support to store management in the Buffalo District to ensure assets are protected from a paperwork standpoint. This individual will also provide administrative support to both the HR Manager and District Operations Manager.

  • Reconciles (daily) mini cash reports
  • Reviews buyout purchase orders (procurement card reconciliation) from Local, COJ & IBS locations.
  • Coordinates all store reports and ensures they are correct and timely.
  • Reconciles (daily) mini cash reports.
  • Corrects discrepancies through journal entries.
  • Track credits pertaining to sales programs, master installer rebates, batteries, and misc. returns.
  • Coordinate stock corrections and ensure that they are properly coded each month. Coordinate write-off from a paperwork standpoint.
  • Reviews Buyout Purchase Orders (Procurement card reconciliation).
  • Reviews and checks the scanning of cores and defects by DC to account for all credits.
  • Tracks all class returns and rejected warranty discrepancies from what was pulled or returned from the store versus what was credited by the DC.
  • Posts open positions, schedules interviews and corresponds with candidates.
  • Inputs data into system for new hires, transfers, terms and other changes.
  • Creates files for new hires and assists with new hire orientation.
  • Assists in putting together events to include luncheons, trainings and other company sponsored events.
  • Filing as needed.

Qualifications

  • HS Diploma or equivalent.
  • Basic understanding of accounting and the ability to complete reconciliations.
  • Analytical skills with attention to detail.
  • Highly organized with excellent follow-up skills.
  • Ability to obtain necessary paperwork from managers in a professional and courteous manner.
  • Strong PC literacy with the ability to learn new systems.
  • Experience with Microsoft Word and Excel (creating basic formulas and spreadsheets).
  • Professional written and verbal communication skills.
  • Ability to maintain confidentiality.
