The Administrative Assistant is responsible for performing diversified administrative and secretarial functions for the reporting Director and/or designee. Primary duty of performing office or non-manual work directly related to the management or general business operations of the employer or the employer's customers.

Accurately compose, transcribe, and distribute letters and reports (from rough drafts, marginal notes, verbal instructions, or dictation with shorthand from principals) when requested. Screen and direct visitors. Screen telephone calls and deliver accurate messages or promptly handle calls. Open, sort, review, and distribute mail and prepare responses to routine inquiries. Perform secretarial functions for all assigned committees and meetings. Maintain minimum necessary inventory of office supplies for administrative area; make all necessary administrative equipment repair arrangements. Plan and make travel arrangements for management and employees as requested. Assemble reports, draw charts, and prepare handouts and presentation materials as necessary. Set up, coordinate, and maintain appointments and meeting calendars for principals, including regular and special meetings. Maintain and distribute up-to-date policies and procedures; assist in preparing policies and procedures. Manage the corporate contract approval process; maintain accurate and up-to-date approval and contract files.

Observe professional ethics in maintaining confidential information acquired regarding personal, financial, medical or employment of patients, families, and employees of AllianceHealth Blackwell. Must follow and enforce accepted safety practices for patients and AllianceHealth Blackwell. Must report hazards and initiate appropriate action. Must participate in safety instructional programs.

Education: Two years of college or Business College in an accredited secretarial curriculum, or equivalent education/experience preferred.

Experience: Desirable characteristics include a proficiency in typing, English, office procedures, and written and verbal communications. Must possess ability to establish and maintain effective working relationships with internal and external publics and exhibit efficiency in secretarial skills. Must have a minimum of four years experience in a business office environment or a health care institution. Must be able to follow directions and perform work according to department standards when no directions are given. Must be emotionally mature and able to function effectively under stress.

Skills: PC skills or applicable computer experience.
