Job Description:

The primary purpose of this position is to provide administrative assistance to the Regional Vice President, Store Operations and coordinate the daily activities of office personnel in the regional office. The incumbent is also required to perform all tasks in a safe manner consistent with corporate policies and state and federal laws.

ESSENTIAL DUTIES AND RESPONSIBILITIES The associate is responsible for the functions below, in addition to other duties as assigned:

Assist Regional Leaders with various administrative duties. Coordinate the activities of office personnel in the regional office(s) to ensure the accuracy of workflow. Maintain and report accurate data on store listings, openings, closings, relocations, general store inventory and sales information using various electronic forms. Maintain accurate store information and report for store items such as lottery tickets and food stamps, security and audit information, rosters and personnel information. Interact with various Boards of Pharmacy and the Licensing department to update or change pharmacy licenses in the retail stores. Update personnel changes in the payroll system on a regular basis and maintain time keeping records. Control the intake/output flow of reports, surveys, and bulletins that come from and go to the corporate office to ensure timely management of requested data. Log in customer complaints, compile relative data for corporate office and ensure each is resolved in a timely fashion. Maintain the ordering and maintenance of the field/regional office equipment and GE Fleet vehicles. Interact with various corporate departments to assist with individual store needs including but not limited to store maintenance, FSS issues and equipment requests. Create and send regional office communications to the stores. Track all plan-o-gram and recall information. Coordinate special events and meetings to secure locations, food and accommodations within discretion and assistance of travel department for assigned region. Coordinate regional meeting schedule, weekly schedules and vacation requests for regional personnel. Perform basic office functions such as answering telephone calls, emails, filing, faxing, copying, ordering office supplies, and preparing correspondence. Supervisory Responsibilities This position currently has no supervisory responsibilities.

Ability to work within strict time frames and resolute deadlines. Ten-key punch speed of four thousand (4,000) SPH. Typing speed of sixty (60) WPM. Proficiency with the Microsoft Office Suite (Word, Excel, PowerPoint, and Access). The following qualities are helpful:

Education:

Education and/or Experience High school diploma or general education degree (GED), plus two (2) years' experience in an office and/or retail environment; or equivalent combination of education and experience.
