About this job

Enhances the effectiveness of the Chief Product Officer (CPO) and other key product executives
Organizes and proactively manages CPOs travel and meeting schedule, being alert to logistical challenges and conflicts while extracting maximum value from all engagements, both internal and external
Organizes and runs events and meetings with high-level customers, partners, stakeholders and users
Handles a wide array of administrative duties for a diverse, fast-moving digital product group
PRIMARY DUTIES AND RESPONSIBILITIES:
Provide support for CPO and direct reports through duties ranging from strategically important, high-level meetings with customers and partners to proactive management of meeting and travel schedules to a wide array of administrative tasks, including:
Management of, and tracking of, digital file exchanges/extractions and contributions via FTP sites and content repositories
Proofreading of important documents, including contracts, letters, externally-facing reports
Data extraction and report creation from business intelligence applications
Budget creation support
Supply maintenance
Facility-related work orders
Management of invoices for contributors, contractors, and partners
Creation and maintenance of yearly & monthly schedules for products
Assisting with PowerPoint and reports
Send alerts to contributors and exhibitors
Maintain event lists
Build reader surveys and polls for website
Provide advance editorial content to sales team & prominent stakeholders
Retain and file copyright certificates of registration
In-office distribution of promotional materials
Process general shipments of books and other materials
Contributing to the achievement of organizational goals

Requirements

Associates in business or related field required with 5+ years of Executive Administrative support experience with a proven ability to proactively manage complex meeting and travel plans Bachelors degree preferred SPECIALIZED KNOWLEDGE AND SKILLS: Proven ability to delight CPOs internal and external stakeholders by meeting expressed and, especially, unexpressed needs Outstanding written and oral communication skills Proven ability to own and immediately solve any problems affecting CPO Proven ability to grasp, prioritize and handle a wide variety of administrative tasks from the CPOs direct reports Excellent Microsoft Office skills, particularly with PowerPoint and Excel Local travel
