The incumbent will work Monday through Friday from 09:00 a.m. to 06:00 p.m. The incumbent may be required to work mandatory overtime."

Under close supervision of the Office Services Supervisor II (OSS II), the Office Technician (Typing) is responsible for performing clerical duties in support of the Chatsworth Regional Administrative Services Unit including initiating, coordinating and providing internal and external clerical support and administrative functions and responsibilities. Specific duties include, but are not limited to:

Chatsworth Regional Office Support

Types and formats printed and handwritten material including correspondences, memoranda, charts and reports using Microsoft Word and Excel. Prepares, edits, and corrects spelling, grammar, and punctuation and proofreads material for completeness and accuracy. Types and prepares name tags or plates for meeting participants, sign in sheets, supplies and equipment (laptops, projector, batteries, and other meeting materials). Assists in reviewing and editing written communication tools, including community surveys, community notices/fact sheets, public notices, public participation plans & profiles, responses to comments, and other internal or external communication documents in support of DTSC regional programs. Coordinates and types email blasts to staff. Ensures documents are prepared in accordance with general guidelines. Assist with organizing public meetings and hearings by performing the following: assists in researching, identifying and making arrangements for venues. Assist technical staff in setting up and using telecommunications equipment. Receives and tallies community surveys.

Mail Services

Processes all incoming and outgoing mail for the Chatsworth Regional office, which includes: date stamping and sorting, distributing and collecting incoming and outgoing mail from USPS and other couriers. Determines and applies appropriate proper U.S. postage for all DTSC mail using semi-automated mail system. Types shipping and mailing labels for certified, regular, and courier packages. Receives and signs for express packages and certified mail. Ensure proper addressing of envelopes. Use a State vehicle to drive certified and outgoing mail and packages to local United States post office. Maintains postage machine and monitors/adds postage funding. Maintains receipt log, for incoming and outgoing express packages, and notify staff for pickup. Tracks and provides monthly meter reading on mail meter machine.

Photocopying/Assembling

Provides photocopying services for regional programs utilizing either a large copier or color copier. Prepares mass mail requests and operate a multi-functional mail machine that folds, stuffs, and seals envelopes. Sends documents via fax machine. Organizes and coordinates large mail outs for DTSC Chatsworth regional programs. Assists in mass producing of labels, letters, and announcements. Assists on other administrative clerical requests when necessary using word processing software. Provides routine maintenance on all printers, copiers and fax machines (refills toner, paper and staples).

DTSC SharePoint

Maintains and updates library of project-specific mailing lists on SharePoint. Scans, labels, and posts documents onto SharePoint and sends out the link in email correspondences to staff as requested.

Administrative Duties

Performs administrative duties including, but not limited to: adhering to Department policies, rules, and procedures, submits administrative requests including leave, overtime, travel, and training in a timely and appropriate manner, accurately reports time in the Daily Log system and submits timesheets by the due date.

Public Records Act Requests Backup

Types response letters to Public Records Acts Requests (PRAR). Ensures that the typed departmental responses are mailed or e-mailed to the requestor within the 10-day limit, as mandated by the Public Records Act. Types data into the Public Records Act Request tracking database to track each request's response time and the volume of requests.

Other Related Duties

Performs other related duties including, but not limited to: transporting State vehicles to vendors for maintenance/repair. Attend job related meetings and trainings.
