Description

MENTOR Oregon is seeking a full-time Administrative Assistant for our Portland Office. In this position, the Administrative Assistant will provide administrative and data entry support for a team of approximately 16 Personal Agents, 2 Lead Personal Agents, a Provider Coordinator, a Resource Coordinator, as well as the Brokerage Director.

ESSENTIAL JOB FUNCTIONS:

  • Scan and email a variety of documents
  • Data entry into payment systems
  • Provide filing and archiving supports to the department
  • Prepare packets and forms to support Personal Agents
  • Create, prepare and execute mass mailings
  • Support Personal Agents with making copies, mailing, and/or tracking of various support documents
  • Contact various service providers to follow-up on necessary documents related to contracted services
  • Work with service providers to train them on technical aspects of payment system
  • Research payment issues, work to resolve problems
  • Support department with new hire requirements
  • Update and maintain internal resources and data
  • Coordinate and schedule language interpretive services
  • Work with the team in support of larger projects
  • Create and participate in new organizational processes to respond to a quickly changing environment
  • Identify processes that could become more efficient and seek to change them
  • Other duties as assigned

Pay for this position is $12.00 per hour.

Qualifications

REQUIREMENTS:

  • High School Diploma or equivalent
  • 2 years of experience in an administrative support role
  • Strong organizational and communication skills
  • High proficiency in Microsoft Office programs, such as Outlook, Excel, and Word.
  • Experience with Quick Books is preferred
  • Must be a self-starter
