Summary
The Facilities Coordinator (Contractor) position plays an important support for the Facilities Department, including having responsibility for building amenities including workplace services support, ticket management, printer management, stock and inventory management as well as other ad hoc requests. Additionally, this position supports the overall Division of Corporate Services mission to provide cost and process effectiveness, exceptional customer service, and a positive and productive work environment for all COMPANY employees, contractors, and visitors.

Responsibilities
Facilities Operations/Workplace Services:
Cross-train and Conduct Receiving Management, Event Setup, Building Management interface, Move Management and Food Services program support as backup to Facilities Coordinator
Support new desk and office assignments as well as ongoing moves in conjunction with the Real Estate Department
Install ergonomic accessories and support minor desk/office/chair repairs as needed
Ticket Management:
Support domestic facilities ticket requests including processing and responding to tickets in order ensure tickets are closed out satisfactory within given SLA timeframes
Streamline ticket management for both Facilities Department and Customers, ensuring process is effective and efficient; updating system as needed
Utilize the companys ticket management software to gather and review customer satisfaction and feedback
Interface with Corporate Security to coordinate on Concierge services including ticket capture and response
Printer Management:
Support domestic printer operations, including vendor relations, and service and repairs
Ensure adequate stock of paper and other printer related supplies are maintained at each print station
Escort vendors and visitors (based on ticket allocation)
Provide training and customer support as needed
Stock and Inventory
Support office supplies and coffee station inventory management and work closely with key vendors to support promotional items, business letterhead, and business cards
Stock Pasadena site as required, following the established inventory schedule and process
Receive deliveries and ensure accuracy of delivery units, costs and condition following industry best practices
Event Setup
Assist in event setup and takedown of corporate meetings and events
Schedules needed space and ensures preparation is in place to meet customer needs

Other duties as requested may include light handyman work, moving and cleaning among other items.

Requirements

Requirements Highly organized and exceptional time management skills with the ability to organize and prioritize multiple tasks, effectively manage through stressful situations, and consistently make effective, high quality decisions; must develop and effectively manage client and customer relationships Proficiency with MS Office: Word, Excel, PowerPoint. Experience with Remedyforce preferred Ability to work extended hours as needed to cover peak periods, emergency situations, and/or a global portfolio High energy and enthusiasm to effectively manage the organization and service delivery function Strong professional written and verbal communication skills, Ability to provide strong customer service and act as an internal ambassador of the Corporate Services brand
