About this job

The Administrative Assistant is the key support person to the Director and the office team. The Administrative Assistant is a team player, who collaborates with other bilingual project staff and supports them as directed by the Director and the Manager.

 

Responsibilities:

Answer phone and keep track of incoming phone messages
Order office supplies and make sure that maintenance is carried out on office equipment
Keep track of donations, purchase orders and receipts, and maintain condition of the office
Complete assigned projects using Microsoft Word, Excel, PowerPoint, and Publisher, including entering data, text, creating documents, preparing letters, etc.
Design layout and format of presentations using PowerPoint
Perform organizational tasks for projects – Assist staff in photocopying, filing, sending faxes, doing mailings and coordinating registrations/logistics for parent workshops and family events, etc.
Design and develop the layout (PageMaker/Word) of various desktop projects including brochures, flyers, handouts, promotional materials, etc.
Record minutes from meetings and conference calls
Enter information into database system
Communicate with board members and project partners via phone and email
Maintain office in a clean tidy manner
Other duties as assigned by the Director and the Manager
 

 

Qualifications/ Requirements:

Above average proficiency using the following software: Microsoft Word, Power Point, Excel and Publisher
Strong organizational skills
Strong computer skills
Excellent verbal and written communication skills
Accuracy and attention to detail
Ability to prioritize and complete projects within timelines
Ability to work independently and participate in team planning and decision-making process
Knowledge/sensitivity to issues related to persons with disabilities
Ability to get along well with people with various cultural and linguistic backgrounds
Ability to handle pressure and tight deadlines
Use of a car and a valid Washington State Driver’s license
Bilingual in English and any other language strongly preferred
