About this job

Come join our team in a newly created department supporting our Client's hiring needs. The Direct Hire Funnel Team will be responsible for providing specialized guidance and support to multiple locations who are hiring employees directly for our largest client. The Specialist role is highly administrative and an eye for detail and accuracy is essential.

What you'll do:
• Administer a candidate pipeline/funnel for 4-6 locations hiring light industrial workers. Locations supported will scale up or down based on the Client's hiring needs, complexity of shift allocations per hire, and number of REQ's open per site.
• Act as the primary point of contact for local Launch or Site Leaders and provide hands on support in assuring that the sites have everything they need to efficiently hire candidates and meet hiring goals.
• Complete SalesForce system administration to ensure critical system settings are properly configured to match the site's current hiring climate. Your system management will directly impact candidate communications, appointment and requisition generation, tracking, and reporting.
• Ensure positive candidate experience by monitoring and guiding funnel progress from the time the candidate starts their application until they have been hired or dispositioned.
• Consistently monitor each site's funnel progress to ensure they will meet their hiring goals. Determine barriers, identify what strategic changes will be necessary to get to the needed hires, escalate the issue and plan of action to Funnel Manager and Site/Launch Leaders, partner with affected work groups to communicate changes, and execute!
• Develop and generate reports to provide analytic and specialized information to the Funnel manager. Proactively assist with and communicate trends at your sites.
• Proactively communicate successes and challenges with DH Funnel Manager, Site/Launch Leaders, and support teams.
• Participate in cross-functional teams and projects focused on improving our strategies, processes, technology, training and plans for future growth.

What you'll need:
• 3+ years in office administrative or support role
• Superior Communication Skills: ability to actively listen, de-escalate concerns, and communicate clearly and accurately will be critical to your success in this role. Excellent language skills (both verbal & written) in English; other languages is an asset.
• Attention to Detail: Due to supporting multiple locations/clients an understanding of differing client requirements, policies, and processes will be important. You'll need to ensure that every detail is right, recognize when something is amiss, investigate the cause, and take the steps necessary to ensure optimal hiring performance at your sites.
• Proficient skills in Microsoft Office and related software packages. Expert Excel skills will be highly beneficial.
• Strong organizational skills and work ethic: You will be managing a wide range of administrative processes that require extensive coordination across multiple time zones. Regular attendance is required and the ability to work flexible hours, as business need dictates, will be needed.
• Ability to operate under pressure and tight timelines while completing critical, complex and multiple tasks simultaneously and without direct supervision.
• Strong problem solving, analytical and resolution skills.
• Enthusiastic, positive outlook and willingness to help or step in to assist team and others when needed.
• Regular Attendance is required
